Beschreibung:

The Temporary Position is located in the Executive Officer of UNECE. The incumbent reports directly to the Senior Administrative Assistant.

Responsibilities

Within limits of delegated authority and depending on the workload of the Executive Office (EO) of the UNECE, the Team Assistant will be responsible for the following duties:

*Performs a wide range of office support and administrative functions.
*Responds or drafts responses to routine correspondence and other communications in relations to clients' requests to the Executive Office.
*Monitors processes and schedules related to ECE's Internship Programme. Assists in the verification of applications submitted and in the accuracy of evaluations prepared by Programme Managers in Inspira, to ensure compliance with relevant rules and regulations.
*Researches, compiles and organizes information and reference materials from various sources for reports, work plans and statistics on the recruitment of Temporary Staff in UNECE.
*Generates a variety of standard statistical and other reports from UNECE's Consultants and Individual Contractors (CIC) database e-tool.
*Proofreads documents and edits texts for accuracy, grammar, punctuation and style, and for adherence to established standards for format.
*Responds to moderately complex information requests and inquiries (e.g. answers requests requiring search on rules and regulations, etc.), and as necessary, refers inquiries to appropriate staff in the Executive Office for handling.
*Assists in the maintenance of websites by scanning, converting and posting a variety of documents onto the ECE's Intranet, as instructed by the Senior Administrative Assistant.
*Assists in the preparation of presentation materials using appropriate technology/software.
*Performs data entry and extraction functions.
*Performs general administrative tasks (e.g. Assist the Executive Officer in the maintenance of working files, ordering stock requisitions, office supplies and office furniture, Organize and coordinate monthly administrative assistants meetings, etc.).
*Maintains files (both paper and electronic).
*Performs other duties as assigned.

Education

High school diploma or equivalent. Must have passed the (COMPANY NAME) Administrative Support Assessment Test (ASAT) at Headquarters or an equivalent locally-administered test at Offices Away.

Work Experience

Experience in general office support or related is required
At least three (3) years of experience in programme administration or related area, of which preferably two (2) within the (COMPANY NAME) System or in a comparable international organization is required.
Experience with ERP systems such as Umoja and Inspira is required.

Languages

English and French are the working languages of the (COMPANY NAME) Secretariat. For the post advertised, fluency in oral and written English is required. Working knowledge of French is desirable.

Assessment

Evaluation of qualified candidates may include an assessment exercise which may be followed by competency-based interview.

Special Notice

* This position is temporarily available until 31 December 2020. If the selected candidate is a staff member from the (COMPANY NAME) Secretariat, the selection will be administered as a temporary assignment.

* While this temporary assignment may provide the successful applicant with an opportunity to gain new work experience, the selection for this position is for a limited period and has no bearing on the future incumbency of the post.

* Subject to the funding source of the position, the eligibility for this temporary job opening may be limited to candidates based at the duty station.

* This temporary job opening may be limited to "internal candidates," who have been recruited through a competitive examination administered according to staff rule 4.16 or staff selection process including the review of a central review body established according to staff rule 4.15.

* Staff members of the (COMPANY NAME) common system organizations who will reach the mandatory age of separation or retirement within the duration of the current temporary need period are not eligible to apply.Submitting an application or selection for the current temporary job opening does not delay or increase the mandatory age of separation.

* Retirees above the mandatory age of separation who wish to be considered for the current temporary job opening must indicate the reason for their last separation as "retirement." Such retirees shall not be employed by the Organization, unless (a) the operational requirements of the Organization cannot be met by staff members who are qualified and available to perform the required functions; and (b) the proposed employment would not adversely affect the career development or redeployment opportunities of other staff members and represents both a cost-effective and operationally sound solution to meet the needs of the service.

Candidates who have committed crimes other than minor traffic offences may not be considered for employment.
