We are currently looking for a local position as Office Manager Intern in our campus in Madrid!

You will work together with a great local team composed by Campus Manager and a Community Manager plus other corporate roles.

We are looking for a six months intern position that could possibly evolve in a permanent role!

In this role, you will:

* Support Campus operations by maintaining buildings in good and safe conditions.

* Support Reception activities, stay tuned with the daily life of the campus. The reception is the most crucial point.

* Manage suppliers for campus services, as printers, stationery, gardener etc..

* Assist in maintaining office efficiency and productivity by planning and implementing office systems, layouts, and equipment procurement requested by Campus Manager (CaM).

* Assist in implementing policies for the use of the premises, structures, furniture and systems within the campus. Communicate and teach the policy procedures to local teams, measure the effects, follow up the evolution and reporting.

* Manage invoices collection via Netsuite system (training will be provided)

* Maintain admin documentation duly updated

* Liaise with Admin/Finance/Control team for any deadline and check

* Coordinate and check ordinary activities and operations in terms of maintenance (electrical systems, lighting, HVAC system, elevator, fire protection systems, automatic door, etc), cleaning, security (keep the relationship with the local H&S expert, Supervision of the event security requirement in support to the sales team,maintain building documentation updated, Attend inspections by authorities), also monitoring them daily/Verifying the quality of services by periodic surveys ,and proposing improvements to the contracts or the services

* Be reliable and concrete to give an important contribution to customer care. The first principle of OM should be "provide users with info and time expectation for problem-solving, keep the users updated during the time, ask for users feedback after the resolution".

* Manage any request reported and ensure relevant care and solution promptly.

* Very good knowledge of Google Doc suite (Google Sheets, Slides and Docs).
