Coordinator, Global Talent Acquisition

As the Global Talent Acquisition Coordinator, you will be primarily responsible for ensuring that all stakeholders, including hiring managers, candidates, interviewers and Human Resources professionals, have consistent, world-class experiences in Global Talent Acquisition.
The Coordinator will be a proven self-starter with the ability to cultivate and maintain robust relationships with internal clients, external recruiters and candidates. The successful candidate must have the maturity, presence, intellect, and organizational and communication skills necessary to successfully interact with a variety of individuals including the firm's executive leadership team. Day-to-day responsibilities include tightly managing the candidate experience through the entire recruiting lifecycle and serving as a thought partner to the Global Talent Acquisition team to develop and execute recruiting and hiring strategies and processes. The Global Recruiting Coordinator plays a pivotal role within a high-performing Global TA team whose main objective is to recruit leaders across all regions in (COMPANY NAME) XL.

What will your essential responsibilities include?
* Provide world-class hiring manager and candidate experiences by coordinating all recruiting logistics including scheduling video conference (Microsoft Teams) and in-person interviews, liaising with internal support staff, confirming meetings with candidates and booking on-site and off-site meeting space, as needed.
* Assist recruiters with the writing and formatting of job descriptions. Ensure all job descriptions are compliant with (COMPANY NAME) XL's Inclusion & Diversity best practices.
* Support recruiters in posting positions internally and externally and ensuring the appropriate approval chain has been completed.
* Engage with other (COMPANY NAME) entities to collaborate on internal mobility options.
* Create interview schedules, prepare all related documentation and manage all logistics associated with candidate interviews, including travel arrangements.
* Work with local Talent Acquisition coordinators and executive/administrative assistants to provide seamless service and assistance to candidates.
* Act as first point of contact for candidates during on-site interviews and manage the interview process accordingly.
* Distribute interview-related documentation to all parties in advance of interviews.
* Work closely with the wider HR community and business leaders to prepare offer letters and close open positions.
* Coordinate with each country's local HR personnel to ensure compliance with all local regulations and customs.
* Initiate background checks and manage pre-employment processes.
* Send offer letter and other supporting offer documentation to the new hire in advance of start date.
* Manage and process all contracts and invoices associated with Global recruiting.
* Play a lead role in the maintenance and quality control of the in-house database of candidates, clients and vendors.
* Assist the Global recruiters in preparing search status reports and presentations.
* Handle client and candidate inquiries in the absence of the Global recruiters.
* Assist in the completion of research, name generation and candidate sourcing.
* Participate in department, client, and/or Corporate HR meetings, initiatives and projects as requested.
* Help develop, document and improve processes associated with Global talent acquisition.
* Partner closely with (COMPANY NAME) Group and other (COMPANY NAME) entities on internal mobility, best practices and global talent initiatives.

* Experience with a global company and managing global stakeholders and travel preferred.
* Proactive and flawless communication, both written and verbal; ability to interact effectively with all levels of professionals.
* Ability to switch gears quickly and actively problem solve.
* A high level of confidentiality and discretion, combined with tact and diplomacy.
* Project management experience.
