Reporting to the SVP of Global Markets & New Models, in (COMPANY NAME) you will play a critical role in the overall support and management assistance to the executive and his leadership team. As an Executive Assistant, you will enjoy a varied role and a great range of interactions on a daily basis.
Responsibilities and Duties:
The extent of your duties will include but are not limited to:
* Be responsible for the overall direction and coordination of the team's administration
* Email management on behalf of the Executive
* Calendar Management: own the team calendar and manage daily Executive calendar and schedule
* Develop administration procedures to respond to the operating style of the Manager
* Coordinate and manage travel. The executive assistant will be tasked with developing extremely complex, detailed and organised travel itineraries and agendas as well as compiling documents for travel-related meetings
* Completing expense reports; composing and preparing confidential correspondence
* Plan, coordinate, and ensure the executive schedule is followed & respected
* Organise events e.g. quarterly events, off-sites, team meetings, including managing budgets and deadlines and general event/coordination activities
* Provide a "gatekeeper" role, creating win-win situations for direct access to the executive's time
* Communicate directly, and on behalf of the Executive with Executive team, and others on matters related to Growth Markets & New Models priorities
* Research, prioritise, and follow up on incoming issues and concerns addressed to the executive, including those of a sensitive or confidential nature; determine appropriate course of action, referral, or response
* Provide a bridge for smooth communication between the Executive and internal departments; demonstrating leadership to maintain confidentiality, trust and support with senior management staff
* Prioritise conflicting needs; handles matters expeditiously, proactively, and follow-through on projects to successful completion, often with deadline pressures
* Prepare minutes of meetings and assist with the follow up actions from meeting outcomes
* Manage confidential information
* Provide insights & ideas on how to manage the executive and his leadership team life more efficiently
* Contribute to team development, effectiveness and success by sharing knowledge and good practice, working collaboratively with others to create a productive, diverse and supportive working environment
* Maintain a strong working relationship with other departments
* Assist with meetings and internal events agenda for the year ahead, liaising with members of the board, senior partners, non-executive directors and departmental managers to ensure all internal events and review meetings are set appropriately
* Help the team make consistent decisions by advising them of historical precedent
* Other duties as assigned

* Desktop Computer Skills: Google Suite experience (Gmail, Calendar and Drive)Knowledge:
* Clerical: Knowledge of administrative and clerical procedures and systems such as word processing, managing files and records, and other office procedures and terminology
* Language: Proficiency in English and Spanish required
* Administration and Management: Knowledge of business and management principles involved in strategic planning, resource allocation, leadership technique, production methods, and coordination of people and resources
