IP Formalities Administrator - Part Time or Full Time

Job Description:

(COMPANY NAME) is at the leading edge of cell therapy development and as a result it has a strong focus on patents and IP. Working closing with the rest of the IP Team this individual will help to establish and operate the patent database, assist with administration of patent and IP activities and handle the formal documents associated with the patenting process. The individual should be proactive, with a strong eye for detail and strong organisational abilities.
Key Responsibilities
* Working closely with IP team to establish, operate and maintain the patent docketing database (including copying, filing and processing patent documents) and using the docketing database to support activities of the IP team, including setting up templates and electronic folders, running reports and monitoring due dates; [50%]
* Working collaboratively with patent outside counsel and other outside service providers, e.g. translators, notaries where required to ensure formal documents (e.g. powers of attorney, assignments, notarised documents) are obtained, managed and processed. [10%]
* Working closely with IP team to establish internal procedures and templates for new patent filings and filing decisions; [10%]
* Keeping up to date with changes in patent procedures and fees, especially those of WIPO, EPO and USPTO; [10%]
* Scheduling IP team meetings, IP forum meetings and other IP-relevant meetings including organising agendas, minutes and any follow-ups required [10%]
* Receiving, filing, sending and acknowledging electronic and hard copy communications (e.g. courier packages); [10%]
Qualifications & Experience
* Thoroughness, accuracy and acute attention to detail
* Good organisational and time management skills
* Fluency in English and good oral communications skills
* Patience and a sense of humour, plus the ability to work under pressure
* Experience of working in an office environment and remotely
* Experience of patent formalities work and good knowledge of the patent prosecution process
* Preferably CIPA or IPAC qualified
* Good working knowledge of Microsoft Outlook, Word, Excel and PowerPoint
* Knowledge of WIPO, EPO and USPTO websites, especially for information gathering, e.g. patent status, file histories, case law, official publications;
* Knowledge of patent information databases, e.g. INPADOC, Espacenet, BAILII;
* Knowledge of publication sources, e.g. British Library.
