Overview As an Office Manager, you'll play a key role in making our Brussels office a smooth, welcoming, and well-organized place to work. You'll report to the Head of Operations and work closely with HR, Finance, Client Teams, suppliers, and building partners to support the daily life of the agency. Your mission combines office coordination, facilities follow-up, supplier management, internal communication, administrative support, employee experience, and practical problem solving. You'll be the person who brings structure, keeps things on track, anticipates needs, and makes sure that both our teams and visitors feel supported in a professional and friendly environment. Responsibilities This is our bucket list, but we will not be disappointed if we cannot tick all the boxes in the end. General Office Administration Oversee the smooth day-to-day operations of the office Manage office supplies, equipment, and vendor relationships => Anticipate supply needs and manage replenishments proactively Ensure the office environment is safe, tidy, and efficient. Ensure employees have what they need to work effectively First point of contact with Manhattan's administration & reception crew Handle phone calls, mails, deliveries Receiving & guiding clients Facilities & Space Management Supervise cleaning, maintenance, and security services Ensure all shared spaces (kitchen, meeting rooms, reception, etc.) are tidy and welcoming. This includes ensuring that all shared spaces such as the kitchen, meeting rooms, and reception areas are consistently tidy and welcoming for both staff and visitors. Manage access badges and parking tickets Oversee meeting room bookings and shared space usage, making certain that these facilities are efficiently used. They are tasked with preparing meeting rooms for sessions and ensuring that spaces are cleaned up afterwards. Oversee & handle "book your seat" app, supporting staff in reserving workspaces and helping to maintain an orderly and functional working environment. People & Culture Support Collaborate with Human Resources to bring employee engagement projects to life, helping foster a vibrant and connected team spirit. Curate memorable office gatherings, energizing team-building activities, and meaningful celebrations for career milestones that bring everyone together. Health, Safety & Compliance Manage first aid and ergonomics at work Executive & Management Support Offer support for administrative tasks, such as scheduling meetings and coordinating travel arrangements.
