The Opportunity:

We are currently seeking an experienced candidate for a position of an Office Services Manager who will oversee day to day office services operations in Warsaw as well as manage the iProcurement team.

Key Responsibilities
Office Services Manager - Warsaw
* Oversee day-to-day OS operations and collaborate closely with Marsh/JLL to ensure consistent service delivery, address specific needs and resolve issues in a timely manner.
* In collaboration with Marsh/JLL, manage local real estate projects such as office refurbishments or relocations. Ensure effective coordination with local teams, vendors, and contractors to ensure smooth execution and minimize disruption to daily operation.
* Manage space planning configuration primarily during specific scenarios, such as when occupancy is top-heavy or when integrating a new team into the office. This includes analysing the workspace utilisation and making recommendations to optimise space.
* Work collaboratively with internal stakeholders, including Office Head and SP leads to ensure operational needs are met effectively. Provide support to the Regional Head of OS on cross-functional initiatives and projects, ensuring smooth communication and implementation at the local office level.
* Take a primary role in drafting and proposing initial operational budget. Collaborate closely with the Regional Head of OS to ensure budgets align with departmental goals and financial targets. Provide ongoing input, track expenditure, and offer analysis as required.
* Manage other Office Services staff, currently one OS Administrator
* Coordinate coverage, recruit and train staff as needed, conduct and deliver annual performance reviews ensuring high quality performance on all required tasks
* Oversee the business travel programme (BCD) and the corporate American Express programme, proactively identifying and resolving service issues to maintain high service levels across all locations. Collaborate effectively with Marsh points of contact to ensure seamless operations

iProcurement Team Manager
* Manage iProcurement support team currently consisting of 4 iProcurement Administrators.
* Coordinate coverage, recruit and train staff as needed
* Conduct and deliver annual performance reviews ensuring high quality performance on all required tasks
* Develop strong working relationships with the Finance team to ensure issues are being escalated and solutions created
* Escalate questions and issues from the iProcurement team to the Help Desk for resolution when necessary. Facilitating clear communication
* Set up processes and guidelines for the iProcurement team and ensure high level support to end users

Key competencies & Experience:
Operational Leadership: Experience managing office services/facilities, ensuring seamless operations, high-quality service delivery. Ability to identify and implement improvements in service delivery processes to enhance user experience and operational efficiency.
People Management: Ability to lead and inspire teams, fostering a collaborative environment that drives high performance and morale. Experience managing both internal staff and outsourced service providers to achieve organisational standards.
Financial Acumen: Solid understanding of operational budget processes, including preparing draft budgets, tracking expenditures, and providing financial input. Ability to collaborate effectively with senior leaders to ensure alignment with financial goals and optimise resource allocation.
Stakeholder Collaboration: Ability to work closely with internal departments, such as Finance, HC, and senior leadership, to ensure that operational needs are effectively met. Experience supporting cross-functional initiatives and facilitating communication between key stakeholders to drive collaboration.
Project Support: Experience in providing operational support for office refurbishments, relocations, and integration of new business units, ensuring smooth execution while minimising disruptions to daily operations. Capable of managing logistics and coordinating with various teams.
Vendor and Service Provider Management: Proven ability to establish and maintain relationships with vendors and service providers, ensuring high levels of service and promptly addressing performance issues. Focus on driving value and quality in service delivery.
Flexibility & Adaptability: Capable of adapting to changing operational requirements and business priorities. Experience working in dynamic environments where flexibility is key to meeting organisational needs.
Business Resilience: Ability to support operational response during business disruptions, emergencies, and crisis situations, ensuring continuity of critical business activities and minimising impact on employees, clients, and operations. Coordinating with key stakeholders during incidents and making timely decisions to support organisational recovery.

Skills:
* Fluent in English
* Advanced knowledge or Microsoft Outlook, Word and Excel, working knowledge of PowerPoint helpful
* Comfortable using generative AI tools (e.g., ChatGPT, LenAI) to improve productivity, support problem-solving, and streamline routine tasks, while exercising critical thinking and professional judgment.
