What you are going to do
As a management assistant, you have a versatile role in which you stand firm and anticipate the needs of the management. You will primarily support the Head of Corporate Citizenship (CC) and Management Team (MT), where you will mainly be busy with agenda management, scheduling appointments and follow in up on team action points. Your workday is full of various tasks and contact with team managers, (international) colleagues within the organisation, and external relations. That's what makes the work so varied and enjoyable.
Below are your tasks and responsibilities:
* Administrative assistance: Provide comprehensive administrative support to the Head of CC, including scheduling meetings, managing calendar, and handling correspondence. Scheduling complex appointments with multiple internal and external participants for the MT.
* Document management: Maintain and organise critical documents, reports, and project files. Ensure version control and accessibility for the appropriate (Management) team members.
* Invoice and contract administration: Handling requests for POs, contract signatures and related administration.
* Meeting coordination: Arrange and coordinate team meetings, support with scheduling contributions to board meetings, workshops, and support with meetings/events with external stakeholders. Prepare agendas, take minutes, and follow up on action items.
* OKR support: Assist in planning, tracking, and quarterly reporting on departmental OKRs (Objectives, Key Results).
* Event planning: Support in the organisation of events, workshops, and other meetings. And, making travel arrangements for the management.
* HR support: Supporting various HR-related processes such as onboarding and offboarding personnel, planning the performance management meetings, organising social team events and organising gifts/celebrations for special occasions

Who you are
For this dynamic role, we are looking for a Management Assistant who is ready for a new challenge. Our ideal candidate meets the following requirements:
* Demonstrable relevant experience in a similar role
* Enthusiastic, welcoming and positive attitude
* Strong planning and organisational skills
* Ample communication skills, both orally and in writing, in Dutch and English
* Always keeping an overview, being stress-resistant and able to prioritise
* Diverse programmes of MS Office have no secrets: you can prepare, edit, and/or format a Word or PowerPoint document
* Being discrete with confidential information

Who you will work with
The Corporate Citizenship (CC) department (30 FTE) is located at the international head quarter in the Hague and plays a central role in ensuring NN is responsibly managing its impact on people, the environment and the communities in the markets in which we operate. The CC department consists of three teams: Sustainability, Responsible Investment and Community Investment. Additionally, there is a Taskforce for Sustainability in Business and experts within the department responsible for the art and history collections.
This Centre of Expertise works closely with our senior leadership, the different businesses (NL and International) and other Group functions to set the agenda, and steer and advise on the embedding of our societal commitments in strategy, policies and business processes within NN. To engage colleagues we raise awareness, organise events, manage Ambassador networks and organise volunteering activities. The department works closely with the Corporate Communications, Brand Marketing, Public and Governmental Affairs and CPCSO operations team.
