KONE Global Spares Supply ensures efficient warehousing and delivery of quality spare parts for all KONE elevators, escalators and automatic building doors. KONE also provides commercial replacement parts and components for a wide range of third-party equipment.

We are looking for a motivated

Summer Trainee, Purchasing Coordinator

to join our Purchase Order Management team in the Global Spares Supply (GSS) unit. This role involves executing stock material purchase order processes efficiently, ensuring data accuracy, and driving the timely supply of materials and services.

The internship is four months paid full-time work starting in spring. The start date can be agreed mutually to suit your studies and preferences. This position is located in Hyvinkää, Finland.

Responsibilities and Key Activities

* Monitoring purchase requisitions and creating purchase orders (PO) with preferred/approved suppliers.
* Creating manual POs based on request received from Cross functional teams with needed approvals.
* Being in charge for monitoring the Purchase orders, Following Order confirmations from Supplier and clarifying any possible deviations to suppliers.
* Updating order confirmation details in the corresponding purchase orders in SAP.
* Handling IDOC errors from Integrated supplier related to order confirmations.
* Following up with suppliers and ensuring materials are delivered to DC, FL, or other required destinations.
* Assisting suppliers to arrange transportation when needed.
* Handling emails received from suppliers/stakeholders/cross-functional teams in common mailbox.
* Collecting Holidays list from supplier and inform planning team for better planning.
* Coordinating with the planning team to ensure timely delivery of forecasts to suppliers.
* Maintaining updated supplier contact information in the system.
* Monitoring exceptions and following up on daily issues.
* Proactively contributing to process improvement initiatives.
* Ensuring compliance and adherence to KONE policies and procedures, including and notably the PO policy.
* Ensuring compliance with quality, safety, and environmental standards.

We Are Looking for a Candidate who:

* Has experience in supply chain processes and demonstrates strong attention to detail.
* Thrives in a well-organized environment and adheres to clearly defined procedures and guidelines.
* Possesses excellent analytical and problem-solving skills, with the ability to identify and address root causes effectively.
* Displays cross-cultural awareness, appreciating diverse perspectives, and working well in international settings.
* Demonstrates flexibility, adapting quickly to new situations, and changes while maintaining a positive approach.
* Upholds high ethical standards, maintains integrity, and fosters trust among colleagues and stakeholders.

Requirements for the Role:

* Completed most of your studies in relevant field (preferable in Supply Chain)
* Proficiency in SAP (MM Module).
* Strong knowledge of Microsoft Office tools (Word, Advanced Excel, PowerPoint, Power BI).
* Experience with Salesforce and PDM systems is an advantage.
* Fluent in English (written and verbal). German language is an advantage.
* Strong organizational and communication skills.
