[Internship] Sample Order Expert Intern

Job Description

Main tasks and responsibilities: (80%)
Work closely with Project Managers to coordination A-D samples from pre-order to invoicing phase:
* Order Placement: Collecting customer's requirement to create and proceed order to Sample shops worldwide (20%)
* Order Status tracking: Collaborating with Sample Coordinator and Sample shops and Logistics to ensure On-Time Delivery of sample orders to customers; Timely updating of order information when changes (e.g. quantity, delivery date,..) occurs (25%)
* Documentation: Filling out customer documentation (e.g. delivery slip, quotation,..) based on customer's existing template, relevant to the Sample Order Mangement Process (15%)
* Reporting: Maintaining master sample delivery plan for team on a regular basis and Creating relevant reports according to request from Project managers/ related stakeholders (10%)
* Escalation: Supporting Project managers with relevant information for internal order escalations (e.g. for shipment delay) (5%)
* Invoicing: Supports the Accounting departments with gathering information regarding sample orders for solving potential conflicts in the invoicing process ( e.g. get delivery proof, approved quotation from customer) (5%)

Other Responsibilities: (20%)
Support Team Leader with administration tasks:
* Creating monthly working hour tracking reports
* Maintaining internal team's administrative documentations

Requerimientos del candidato/a:

Qualifications

* 3rd year or 4th year students with Economics background or Japanese language studies major in Economics
* MS Office Skills (Power point, Excel, Word)
* Japanese language skills (upper N3~N2)
* Proactive thinking
* Good communication and coordination skills
* Patient and Willing to learn
* Proactive in tackling problems and raising ideas
* Can work Independently
* Working time: 9AM-6PM (Mon-Fri)
