Specialist, Legal Operations

Overview
The Senior Specialist, Legal Operations, plays a critical role in driving operational excellence across the Law Department. This role focuses on driving and executing operations efforts related to managed processes including administration, configuration and user enablement & supporting training initiatives for assigned applications. The ideal candidate will be a proactive collaborator with a strong execution mindset, capable of navigating complexity and delivering scalable solutions that enhance efficiency and user experience.

Role
· Process management & user support

o Administer site membership and access controls, including adding users, managing groups, assigning permissions, and maintaining lifecycle actions (invite, suspend/reactivate) in alignment with governance standards.

o Coordinate and execute recurring file uploads into tools related to managed processes, ensuring timely updates and alignment with established operational processes.

o Apply and monitor appropriate application roles, ensuring least-privilege access and compliance with organizational security policies.

o Configure site settings and enable modules, including creating/managing specific components of the systems, dashboards, and workflows to support legal processes and automation initiatives.

o Support authentication via Microsoft Entra SSO and uphold system security practices, including audit tracking, granular permissions, and compliance reporting.

o Track KPIs for dashboard & stakeholder reporting.

o Coordinate backlog of site improvements and light integrations using system APIs and connectors, partnering with developers to test and deploy enhancements safely.

· Training & Enablement

o Collaborate with People & Capabilities and Law Department stakeholders to design and execute onboarding and ongoing training programs.

o Support the development of a comprehensive training curriculum tailored to legal technologies and operational tools.

o Track training participation and effectiveness and recommend enhancements based on feedback and performance data.

· Knowledge of workflow systems like HighQ or other configurable SaaS applications a plus.

· Good written and verbal communication skills, with the ability to engage diverse audiences.
