As a Business Coordinator, you will be a key partner to senior leaders, using digital and AI-enabled tools to streamline workflows and deliver high-quality support across business operations, communications, and project activities. If you're digitally fluent, proactive, and passionate about continuous improvement, this role is for you.
The Business Coordinator provides high-level coordination and operational support to senior leaders within AI for Science Innovation in AstraZeneca's Enterprise AI organization. We are hiring two Business Coordinators: one role will primarily support the VP of AI for Science Innovation, and one role will support Executive Directors across the function.
This role enables effective day-to-day operations through high-quality administrative, organisational, and project coordination support in a complex and internationally connected environment. The role requires a highly organised, proactive, and adaptable individual who can handle contending priorities with sound judgement and discretion. The Business Coordinator will work closely with stakeholders across multiple countries and time zones, requiring excellent communication, strong planning capability, and the ability to operate effectively in a fast-changing and multifaceted environment.
Key Accountabilities
The Business Coordinator will provide comprehensive administrative and operational support to senior leaders, ensuring that priorities are effectively handled and that support is tailored to business needs. Responsibilities include:
* Handling complex calendars, coordinating meetings across multiple time zones, and ensuring effective planning and prioritisation of leadership schedules.
* Supporting the preparation and coordination of meetings, including agendas, briefing materials, logistics, and follow-up actions.
* Arranging domestic and international travel, including itineraries, accommodation, transport, and visa coordination where required.
* Supporting timely expense reconciliation in line with organisational policies and procedures.
* Supporting business operations activities, including procurement, creating and maintaining distribution lists, onboarding assistance for new employees and contract workers, PowerPoint creation, business planning, and other ad hoc business needs.
* Supporting effective team and leadership operating rhythms by tracking actions, deliverables, and deadlines, and coordinating across functions.
* Planning and supporting virtual, hybrid, and in-person meetings and events, ensuring smooth delivery and a positive stakeholder experience.
* Supporting occasional early or late meetings to accommodate global time zones.
* Proactively using available learning resources and tools, including internal AI tools and training, while seeking professional development opportunities.
* Engaging regularly with internal and external stakeholders while handling sensitive or confidential information with professionalism, discretion, and integrity.
* Building effective relationships with the wider Business Coordinator community, Global Leadership teams, the respective SET area, and external partners.
* Finding opportunities to improve administrative processes and introduce more efficient, standardised ways of working. This includes using AI-enabled tools that follow organisational policies.
Essential Experience and Skills
* Previous experience in an administrative, executive support, business support, or coordination role, including experience supporting senior leaders in a complex organisational environment.
* Confirmed experience handling complex diaries, meetings, travel, and a broad range of coordination activities across multiple stakeholders and priorities.
* Experience working with senior executives and/or more than one senior leader simultaneously is desirable.
* Strong organisational skills, excellent attention to detail, and the ability to handle contending demands effectively and calmly.
* Ability to work independently, use sound judgement, and adapt quickly to changing requirements.
* Strong written and verbal communication skills in English, with the ability to build effective working relationships across senior leaders, peers, and external contacts.
* Advanced proficiency in Microsoft 365 applications, including Outlook, Teams, Word, Excel, PowerPoint, and SharePoint.
* Good understanding of AI tools and digital productivity platforms, particularly where these have been used to improve efficiency, coordination, or workflow management.
* Flexible, responsive, and solutions-focused approach, with comfort working in a rapidly evolving and upbeat environment. Ability to learn quickly, adopt new tools and processes, and continuously improve how work is delivered.
Qualifications
* A bachelor's degree or equivalent meaningful experience is preferred.
