Role Overview
As a Front Desk Receptionist & Facilities Coordinator, you will be the first point of contact for employees and visitors at our Kraków Capability Center (KCC). In this role, you will support the KCC population and the Leadership Team in their daily administrative and operational tasks. You will also play an important part in coordinating a wide portfolio of facilities-related activities at our office in Kraków, helping to ensure that our workplace is welcoming, safe and efficient.
Responsibilities

* Visitor management - greeting guests, managing guest check-in, issuing visitor badges, providing basic information, and supporting with meeting room bookings;
* Mail and parcel management - handling incoming and outgoing mail and packages, including sending, receiving and tracking deliveries;
* Document workflow - handling HR, Legal, Tax and other documents; passing them to employees and relevant departments; tracking their status and ensuring timely handover;
* Catering support - ordering catering for meetings, events and onsite activities in line with internal guidelines;
* Transport and logistics - organizing transportation, taxis and couriers when needed;
* Meeting room coordination - managing room bookings (including rooms with movable dividers/partitions) and supporting room setup where required;
* Office supplies - distributing office supplies to employees and helping to keep storage areas organized;
* Gifts and packages - distributing corporate gifts, welcome packs and seasonal packages to employees.
Depending on business needs, you may also support additional office- and facilities-related initiatives and projects.
Qualifications

* Bachelor's degree (or equivalent experience);
* Strong interpersonal skills, including stakeholder management and basic presentation skills;
* Excellent written and spoken Polish and English;
* Good working knowledge of MS Office (e.g. Outlook, Excel, PowerPoint, Word);
* Strong organizational skills and the ability to multitask and prioritize in a dynamic environment;
* Proactive, hands-on attitude and willingness to support others and solve day-to-day operational issues.
