We are now looking for a Fit-Out Coordinator to join our Warsaw team and oversee tenant fit-out projects across our shopping centres in Poland.
Your responsibilities
As a Fit-Out Coordinator, you act as the main point of contact for tenants and all stakeholders involved in the fit-out process. You ensure smooth coordination, technical compliance, and timely delivery of all tenant works.
You will be responsible for:
Coordination & Stakeholder Management
* Acting as the key liaison for tenants, leasing teams, construction departments, authorities, and external partners
* Planning fit-out timelines, managing access to the site, and overseeing unit handovers
* Organizing inspections with building authorities, fire safety experts, Technical Inspection Associations, and other regulatory bodies
* Preparing regular fit-out status reports and updating General Management, Leasing, Project Management and Asset Management
Technical & Regulatory Oversight
* Reviewing tenant drawings, technical documents and ensuring compliance with lease agreements
* Supporting architects and coordinating building permit applications
* Ensuring full compliance with technical and safety systems (sprinklers, ventilation, fire alarms, emergency lighting)
* Tracking defects, warranties and implementing fit-out modifications
Project & Cost Management
* Monitoring budgets, verifying invoices, and preparing cost and schedule updates
* Resolving issues related to design, construction or technical constraints
* Monitoring compliance with design guidelines and ensuring high visual and aesthetic standards in unit finishes
Our requirements
* Technical background in construction, architecture, engineering or a related field
* Experience in project coordination or fit-out management, ideally in retail, commercial real estate or construction
* Very good understanding of technical building systems and safety regulations
* Familiarity with building permit procedures and fire protection requirements
* Strong communication, organizational and stakeholder management skills
* Ability to manage multiple projects simultaneously under tight deadlines
* Proficiency in MS Office; experience with CAD, CAFM or project management tools is a plus
* Excellent English skills (spoken and written)
