Operations Coordinator

The Opportunity

As an Operations Coordinator, you will play a central role in enabling the effectiveness of the DX organization by working closely with DX leadership across Product, PMM, and Tech. You will be responsible for coordinating leadership forums, ensuring strong meeting governance, and driving follow-up on action points to support strategic execution. In this role, you will take ownership of internal coordination efforts, including intercompany and vendor agreements, leadership support, and organizational communications. You will also contribute to building a strong and engaging DX culture by organizing All Hands sessions, workshops, team-building activities, and knowledge-sharing initiatives. By supporting internal communications and content creation, you will help foster collaboration, alignment, and engagement across the organization. This role offers a broad operational scope and a unique opportunity to gain hands-on experience in leadership support, organizational coordination, and internal communications within a dynamic, cross-functional environment.

Day-to-Day Responsibilities

DX leadership meetings coordination for PMM, Product and Tech

* Ensuring the agenda is set and secured for each call

* Capturing meeting minutes and distributing them across participants

* Capture and track action points.

* Actively following up with assignees of action points to progress on the topic and make sure that they are all done before deadline.

Taking the lead and ownership to coordinate intercompany agreements and/or vendor agreement where needed

Supporting on cultural and performance activities for DX organization

* Ensuring All Hands sessions are organized

* Ensuring social activities like team building events, dinners and other activities are organized

* Ensuring workshop events are organized

* Facilitating and organizing educational knowledge sharing sessions (Speaker's corner; Hackathons etc.)

Direct support to Head of DX

* Managing agenda and scheduling of calendar movements

* Organizing and managing travel activities including where needed for direct DX leadership team

Communications

* Work closely with DX leadership team to distribute information on respective communications channels

* Ownership of distribution lists

* Ownership and content management of Comms channels (Teams, Slack, email etc.)

* Lead on engaging content creation Internal marketing to enable engagement and collaboration

* Bachelor's degree in Business Administration, Communications, HR, or a related field

* Strong coordination and organizational skills, with the ability to manage multiple workstreams simultaneously

* Proven ability to support senior leadership with calendar management, agenda setting, and operational follow-through

* Coordinate leadership meetings, ensuring agendas are prepared, minutes are captured, and action points are tracked to completion

* Manage and maintain internal communication channels (Teams, Slack, email, etc.) and distribution lists

* Create and distribute clear, engaging internal communications to support alignment and collaboration

* Plan, coordinate, and execute internal events such as All Hands, workshops, team-building activities, and knowledge-sharing sessions

* Take ownership of administrative and operational tasks with a high level of accuracy and reliability

* Track actions, deadlines, and dependencies, actively following up with stakeholders to ensure timely delivery

* Support coordination of intercompany and vendor agreements when required

* Organize travel and logistics for DX leadership and key stakeholders

* Proficient in Microsoft PowerPoint and Excel for documentation, tracking, and presentation support

* Fluent in English, both written and verbal

* You are a collaborative team player who enjoys a fast-paced environment and takes initiative.
