Descripción del puesto In Bogotá - Colombia, we are looking for a Post Production Coordinator who plays a key support role across advertising post-production projects, providing operational, project, and financial support to post-production teams across all US locations. This role is responsible for coordinating jobs and schedules, supporting budget management, overseeing post-production processes, ensuring proper documentation, managing job closures, vendor payments, and final client invoicing. The Post Production Coordinator works closely with producing teams on a daily basis to ensure smooth project execution, accurate financial tracking, and adherence to established workflows and service standards. Responsabilidades Support producing teams with bidding, and producing jobs, job award, P.O.s, freelance and vendor management, job expense approvals, and client billings Work closely with production and finance teams to process vendor and client P.O.s, invoices, and start paperwork (Smartsheets, Actualize It, LionBox, OneDrive, etc.) and to plan job budgets and cash flows Support daily, weekly, and ongoing needs of advertising post production department Work with leads to assess billable jobs and project revenue, as well as to ensure Smartsheets and project trackers are updated and maintained Interface with outside vendors and freelancers to negotiate most cost-effective arrangements and payment terms, along with document collection Communicate with clients to facilitate efficient receipt of signed contracts and P.O.s, as well as prompt approval of overages and turnaround of payment Work with finance team to ensure maximum billings are P.O.ed, finalized, and booked each month Document and assist in project management best practices for commercial producers, including ongoing training for freelancers and new hires Proactively review commercial invoices to ensure accuracy, complete billing, and adherence to monthly deadlines (leverage and build on process finance team already has in place) Maintain project, revenue, and invoice trackers in partnership with Executive Producer Work with finance team on a regular basis to identify gaps and processes for improvement Oversight and analytical duties to support post production Explore and apply AI tools to enhance creative workflows, from generating fresh content ideas to streamlining production tasks, while staying curious about emerging technologies that shape the future of storytelling Other duties as assigned Cualificaciones Experience as a coordinator, or equivalent experience Understanding of post-production process Strong commitment to complying with and improving existing systems Administrative software knowledge Extreme attention to detail Ability to take direction while solving problems creatively Entrepreneurial drive to learn, build business, and achieve targets Información adicional We have an AI-based interaction and connection platform called Marcel, which includes e-learning tools such as Udemy and LinkedIn Learning, offering more than 30,000 courses on various topics where you can train according to your interests.
