Facilities Assistant - JLL
What this job involves:
As a Facilities Assistant at JLL, you'll serve as a vital support resource in maintaining smooth, efficient building operations that create exceptional workplace experiences for our clients and their employees. This hands-on role combines administrative coordination with operational support, ensuring that facility services are delivered seamlessly while maintaining high standards of safety, functionality, and customer service. You'll work closely with the facilities management team to support preventive maintenance programs, coordinate vendor activities, respond to service requests, and help maintain accurate records and documentation. This position offers an excellent opportunity to build foundational skills in facilities management while contributing directly to the operational excellence that defines JLL's industry-leading property services.
What your day-to-day will look like:
* Coordinate and track work orders through computerized maintenance management systems (CMMS), ensuring timely completion and proper documentation of all service requests and maintenance activities.
* Conduct routine building inspections and walkthroughs to identify maintenance needs, safety concerns, and opportunities for operational improvements, reporting findings to the facilities management team.
* Serve as a primary point of contact for building occupants, responding professionally to inquiries, service requests, and concerns while maintaining excellent customer service standards.
* Assist with vendor management activities including scheduling contractors, coordinating access and permits, verifying completion of work, and maintaining vendor documentation and compliance records.
* Support preventive maintenance programs by scheduling inspections, tracking completion of tasks, maintaining equipment logs, and ensuring regulatory compliance documentation is current and accessible.
* Maintain accurate facilities records and databases including asset inventories, equipment specifications, warranty information, service contracts, and operational procedures documentation.
* Perform basic administrative tasks such as processing invoices, preparing reports, coordinating meetings, ordering supplies, and supporting budget tracking activities as directed by facilities leadership.
Required Qualifications:
* High school diploma or equivalent, with demonstrated experience in facilities operations, building maintenance, property management, or related administrative support roles.
* Proficiency with computerized maintenance management systems (CMMS) or work order management software, along with strong computer skills including Microsoft Office Suite applications.
* Excellent customer service orientation with proven ability to communicate effectively with diverse audiences including building occupants, vendors, contractors, and management teams.
* Strong organizational skills with demonstrated ability to prioritize multiple tasks, manage competing deadlines, and maintain attention to detail in fast-paced operational environments.
* Basic understanding of building systems, maintenance procedures, and safety protocols including familiarity with OSHA guidelines and workplace safety requirements.
* Ability to work flexible hours including occasional evenings or weekends to support emergency response, special projects, or building events as operational needs require.
* Physical capability to conduct building inspections including walking extended distances, climbing stairs, and accessing mechanical spaces as needed to support facility operations.
Preferred Qualifications:
* Associate degree or technical certification in facilities management, building operations, property management, or related field demonstrating commitment to professional development.
* Previous experience in commercial real estate, corporate facilities, healthcare, education, or similar environments with understanding of integrated facilities services delivery models.
* Familiarity with sustainability practices and green building operations including energy management, waste reduction programs, and environmental compliance requirements.
* Basic technical knowledge of HVAC, electrical, plumbing, or life safety systems sufficient to communicate effectively with maintenance technicians and understand operational requirements.
* Experience with budgeting, financial tracking, or procurement processes supporting facilities operations and vendor management activities.
* Bilingual capabilities to support diverse occupant populations and enhance customer service delivery in multicultural workplace environments.
* Professional certification or active pursuit of credentials such as Certified Facilities Technician (CFT) or similar industry-recognized qualifications demonstrating career commitment.
