The Workplace Services Ambassador/ Workspace Ambassador front-facing role responsible for creating a welcoming, efficient, and professional workplace experience. Acting as the first point of contact, you will support daily reception and facility management operations while building strong relationships with clients, landlords, and service partners. The role combines customer service, administrative support, and coordination of workplace services. You will help ensure smooth day-to-day operations and timely communication across stakeholders. Attention to detail, a proactive mindset, and a service-oriented approach are key. This position plays an important role in maintaining a safe, organized, and high-quality workplace environment.

Responsibilities

* Serve as the first point of contact for visitors, clients, and the landlord, ensuring a professional reception experience.
* Support the Facilities Manager in delivering workplace and facility services in line with agreed standards.
* Communicate operational issues, actions, and updates clearly and in real time to stakeholders.
* Coordinate with vendors and service providers to ensure consistent and high-quality service delivery.
* Provide administrative support for day-to-day facility management activities.
* Assist with planning, coordination, and on-site support for workplace and client events.
* Support health, safety, security, and quality management processes and procedures.
* Create purchase orders and support invoice processing and cost control activities.
* Liaise with suppliers regarding purchase orders, invoices, and payment-related queries.
* Provide cover for facility management duties during absences or peak activity periods.

Requirements

* Fluency in Romanian and English, both written and spoken.
* Strong customer service orientation with a professional and approachable manner.
* Clear verbal and written communication skills.
* Ability to build effective working relationships with internal and external stakeholders.
* Cultural awareness and sensitivity in a diverse workplace environment.
* Strong planning, organization, and time-management skills.
* Proactive approach to identifying issues and supporting solutions.
* Ability to work independently while contributing effectively within a team.
