Our ambition is to become one of the most responsible and impactful businesses in the world. We are currently looking for an Office Coordinator for our IT department. Our IT department is unique, as they focus on IT solutions for the Benelux, France, and Nordic Business Units in Zurich Insurance's Commercial Insurance business.
This is a fulltime on-site role where you will be working from our office in Diegem, Belgium.
Role Overview
As IT Office Coordinator, you keep the office running like a well-oiled machine. From coordinating facilities and helping colleagues with first-line workplace support, to guiding smooth onboarding and offboarding. You've got it covered. And of course, you keep everything neatly documented and audit-ready along the way.
Key Responsibilities
* Coordinate day-to-day office operations (facilities, vendors, maintenance, supplies)
* Support health & safety and compliance through inspections, documentation, and ensuring emergency readiness
* Provide first-line IT support and manage onboarding/offboarding, including setups, troubleshooting, access, and asset tracking
* Maintain accurate records and audit-ready processes by managing inventory, documentation, and deadlines
* Oversee office governance and ensuring clear communication and follow-up
* Welcome visitors and support management with administrative tasks such as meeting prep, scheduling, and travel arrangements
* Manage office supplies and purchasing, invoices, and support budget tracking and cost efficiency
Skills & Qualifications
* English fluency as well as an excellent command of Dutch or French (speaking, writing, reading).
* Proven experience in office and facilities coordination or a similar operational role.
* Well-organized, good at prioritizing, and able to juggle multiple requests at once
* O365 literate; knowledge of Word, Excel, Powerpoint, PowerApps, PowerBI
* You are comfortable with basic IT/workplace tools and asset tracking; able to fix common user issues
* Strong attention to detail when it comes to documentation, processes, and confidentiality.
