Workplace Coordinator - JLL

The Workplace Coordinator serves as the vital connection between smooth operations and exceptional workplace experiences. This dynamic role combines strategic coordination with hands-on hospitality leadership, positioning you as the go-to person for everything from daily site operations to high-stakes executive events. You'll orchestrate vendor relationships, manage complex service delivery, and ensure every touchpoint reflects operational excellence. What your day-to-day will look like:
* Lead comprehensive site walkthroughs each morning, evaluating workplace readiness, safety compliance, cleanliness standards, and overall occupant experience while serving as the primary point of contact for service requests, visitor management, and employee inquiries
* Coordinate diverse events from executive meetings to company-wide programs, managing all logistics including space setup, technology coordination, vendor partnerships, signage, and cross-functional stakeholder alignment to ensure flawless execution
* Oversee vendor service delivery across cleaning, landscaping, pest control, food services, waste management, HVAC, utilities, and transportation, conducting quality assessments and communicating performance expectations to multi-disciplinary service teams
* Manage complete work order lifecycle through CMMS platforms (Corrigo, E1), ensuring timely response to repairs, tracking KPI compliance, coordinating complex projects, and maintaining comprehensive workplace documentation including emergency response plans and building access systems
* Coordinate administrative operations including mail services, mobile equipment tracking, travel coordination, Corporate Credit Card management, monthly invoice reconciliation, and HR support functions for Colombia operations
* Monitor office budget performance, develop operational metrics, generate performance reports, and provide strategic recommendations to enhance efficiency, ensure profitability, and promote energy conservation initiatives
* Maintain effective workplace communications through announcements, digital postings, and documentation updates while supporting audit readiness, compliance reviews, and emergency response coordination across all site operations
Required Qualifications:
* Bachelor's degree in Workplace Management, Facilities Management, Hospitality Management, Business Administration, Industrial Engineering, or related field (equivalent combination of education and experience may be considered)
* 2-4 years progressive experience in workplace management, front desk operations, or corporate workplace services with demonstrated success managing complex, multi-service environments and meeting or exceeding established KPIs
* Advanced fluency in English required for effective verbal and written communication with stakeholders, clients, vendors, and team members across multiple organizational levels and geographic locations
* Comprehensive knowledge of building systems, maintenance operations, emergency response protocols, health and safety regulations, workplace management best practices, and service level agreement performance measurement
* Advanced proficiency with workplace management software platforms, Microsoft Office Suite (Excel, Outlook, PowerPoint, Planner), Corrigo and E1 CMMS tools, workplace technology systems (access control, booking platforms), and digital documentation systems with demonstrated ability to generate reports and analyze operational data
Preferred Qualifications:
* Experience coordinating corporate events, executive meetings, or large-scale workplace programs with successful management of complex logistics, stakeholder expectations, and cross-functional partnerships
* Familiarity with Colombia-specific workplace regulations, labor standards, health and safety compliance requirements, or environmental protocols that govern corporate workplace operations
* Project management capabilities or certifications (PMP, CAPM, or similar) demonstrating ability to coordinate multiple initiatives simultaneously while maintaining quality standards and meeting deadlines
* Background in hospitality industry, customer service leadership, or client-facing roles that developed exceptional interpersonal skills, service mindset, and ability to anticipate needs proactively
* Experience with budget management, financial reconciliation, vendor contract negotiation, or procurement processes that support cost-effective workplace operations and demonstrate fiscal responsibility
