E-Commerce Order Management Processes Coordinator

As the eCommerce Order Management Process Coordinator for Amazon across multiple EMEA IFP ABUs, you will oversee operations for both Family Care and Professional businesses.
As Kimberly-Clark forms a strategic partnership with Suzano to create a world-class international tissue and professional products company, this role is proposed to transfer to the new venture once the transaction closes, anticipated in mid-2026, subject to consultation and other applicable legal requirements. This is a rare opportunity to help shape a new global leader backed by two industry powerhouses. This role is offered as a hybrid position for 18 months' Fixed Term Contract.
Key Responsibilities:
* Business Needs Assessment: Evaluate current business requirements and provide necessary support to ensure continuity and achieve operational goals.
* Coordinates the daily work of the team handling Amazon orders, ensuring accurate order processing, verifying order details, and maintaining compliance with quality and service standards.
* Point of Contact: Serve as the primary liaison for Amazon and internal stakeholders within the EMEA IFP regions, managing all ordering activities and resolving inquiries across the Order to Delivery (OTD) process.
* Data Management: Maintain order data within our SAP R/3 System and customer platforms.
* Amazon Order Process Management: Independently manage the complete Amazon order process for various countries within EMEA IFP ABUs. This includes working on platforms like Vendor Central, verifying orders in SAP R/3 for product codes, stock availability, delivery lead times, and logistics appointments, collaborating with other departments, and ensuring order delivery to the customer. Provide solutions to Amazon for any required changes during this end-to-end process.
* Inbound Flow Optimization: Optimize and coordinate the inbound flow of K-C products into Amazon through meticulous order management and customer order attribute optimization across all EMEA IFP countries, including product rollovers, obsolete codes, and out-of-stock delivery management.
* Performance Accountability: Be accountable for OTIF (On-Time In-Full), cases as ordered, and penalty on-time measures for Amazon accounts. Share metrics with Logistics, Transport, and Planning teams.
* Collaboration with E-Commerce and Logistics: Work closely with E-Commerce account managers and Logistics to ensure a smooth flow of goods in and out, guarantee optimal service, clearly define the product portfolio, and ensure visibility of key performance indicators (KPIs).
* Process Improvement: Identify gaps in current processes and suggest optimized ways of working to enhance team efficiency and customer satisfaction. Lead continuous improvement initiatives, cost-saving measures, and harmonization of Amazon order management processes across EMEA IFP businesses.
* Customer Logistics Claims Management: Handle customer logistics claims through Dispute Case Management and other external customer tools. Investigate complaints, create credit/debit notes and returns, obtain required approvals, and liaise with stakeholders as needed.
* Stakeholder Engagement: Actively contribute to or lead regular teleconferences/meetings with stakeholders. Address customer requirements, proactively communicate challenges, and seek optimal solutions tailored to the current situation. Provide dedicated order management and supply chain/logistics expertise.
* Project Participation: Participate in various projects outside regular responsibilities as a subject matter expert. Provide expertise, collect data, and actively contribute to process analysis and improvement implementation.
* Reporting: Ensure timely completion of all reporting activities, including daily, weekly, monthly, and quarterly reports, meeting the expectations set by customers, stakeholders, or the Team Leader.
Required Qualification
* You have proven experience in customer-facing roles within Order Management, Customer Service, or Supply Chain in the FMCG or B2B sectors.
* You posses technical Skills: Proficient in MS Office (especially Excel); SAP and SNC systems, experience with SalesForce.
* Your Time Management is excellent: Strong prioritization skills, able to manage multiple tasks under pressure.
* You are Independent: Self-motivated, proactive, and capable of working independently.
* Your Attention to Detail is high: High accuracy, analytical mindset, and problem-solving ability.
* You are Customer Focus: Strong relationship management and communication skills.
* You are a Team Player: Effective team player with experience in supporting and training colleagues.
* You are Adaptable: Flexible and responsive to change with a can-do attitude.
* You are fluent in English proficiency on CEF-C1 level is required.
* You thrive in Cross-Functional collaboration: effective coordination with Sales Support, Pricing Support, and regional customer service teams and improve processes.
* E-Commerce: Knowledge of customer supply chains/demand planning in E-Commerce would be nice to have
* Promotions and Pricing: Understanding of promotions, pricing, and Amazon agreements would be nice to have
