Job Description:
Introduction:
As the right hand to the IPT Head, you will deliver seamless executive support, drive administrative excellence, and ensure smooth departmental operations with precision, discretion, and impact.
Functions:
* Manage complex agendas, including calendars, meetings, official travel, and communications (calls and emails).
* Act as a trusted point of contact, handling interactions with internal and external stakeholders with professionalism and tact.
* Draft and review official correspondence, reports, minutes, procedures, and presentations.
* Handle sensitive information with the utmost confidentiality, ensuring full compliance with CERN rules and procedures.
* Organise and coordinate meetings and events, and key administrative processes.
* Supervise and mentor an administrative assistant within the IPT Head Office.
* As Departmental Admnistrative Officer(DAO), welcome and support a diverse population (staff, graduates, students, visitors etc.) upon their arrival at CERN.
* Provide guidance on organisational rules and ensuring their correct application.
* Support administrative processes related to budgets, projects, and personnel movements (arrivals and departures).
Qualifications:
Bachelor's Degree or equivalent relevant experience in the field of Business Administration for personal assistant or a related field.
Experience:
* Demonstrated experience in the field of personal assistance at a top management level.
* Demonstrated experience in handling sensitive information with tact, discretion, sensitivity and confidentiality.
* Proven experience in organising meetings and events.
Technical competencies:
* Executive assistance.
* Knowledge of administrative rules and procedures.
* Use of office software packages.
* Customer service.

* Demonstrating Flexibility: adapting quickly and resourcefully to shifting priorities and requirements.

Language skills:
Spoken and written English, with a commitment to learn French.
