As a Facility Assistant in our Bucharest office, you'll play a key role in delivering an exceptional workplace experience for employees and visitors alike. Working as part of our Integrated Facilities Management team, you'll support the day-to-day operations of our office - from coordinating workplace services and managing administrative processes to collaborating with cross-functional teams. What You'll Do
* Keep the office running smoothly - support daily workplace operations, coordinate office supplies, manage storage areas, and ensure shared spaces are organized, safe, and welcoming.
* Be the go-to contact for workplace requests - receive, route, and follow up on facilities-related requests, ensuring they are handled efficiently and accurately recorded.
* Support a great first impression - coordinate meeting room readiness, visitor logistics, and employee onboarding arrangements including desk setup and access requests.
* Handle facilities administration - maintain records, trackers, and documentation; support invoice administration, purchase requests, and preparation of reports and presentations.
* Coordinate vendor activity - schedule service visits, maintain vendor contact information, monitor routine service completion, and escalate unresolved issues as needed.
* Support stock and materials management - assist with ordering and managing workplace supplies and materials in line with team requirements.
* Champion health & safety - follow and promote workplace H&S procedures, report risks or incidents promptly, and help maintain compliant, organized office areas.
* Collaborate across teams - work closely with HR, IT, Security, Reception, and Finance to support office moves, internal changes, and a positive employee and visitor experience.

What We're Looking For

* Comfort working in a dynamic, fast-paced environment - you adapt quickly and stay calm under pressure.
* Solid Microsoft Office proficiency - particularly Outlook, Excel, Word, and PowerPoint.
* Fluency in Romanian and English, both written and spoken.
* A collaborative team player who is equally capable of working independently and taking ownership of tasks.
