About the Opportunity

PYRATEX® is looking for an Logistics & Office Coordinator to join the team in Madrid.

In this role, you will oversee the preparation and shipment of fabric samples, stock orders, and occasional bulk deliveries. You will manage international inbound and outbound logistics flows while delivering a first-class customer service experience to our global clients.

Beyond logistics, this position offers a unique level of ownership over our office stock and sample management, placing you at the heart of day-to-day operations and enabling you to actively coordinate and streamline office activities. This position involves a mix of administrative responsibilities and occasional physical tasks.

You will work closely with the Business Development and Production teams and report directly to the Head of Operations, Impact & Compliance.

Shipping & Logistics Coordination

* Plan and coordinate inbound and outbound delivery flows (primarily via courier), ensuring smooth alignment with suppliers, freight forwarders, 3PL partners, warehouses, and customers.
* Build and maintain strong relationships with logistics partners, identifying the most efficient and cost-effective solutions across different markets.
* Act as the main point of contact for national and international warehouses, ensuring compliance with quality standards and operating procedures.
* Deliver a first-class customer experience by proactively managing communications and expectations.
Order Fulfilment & Operations

* Own the end-to-end fulfilment process for stock and bulk orders, including: Maintaining and updating the ERP system (client data, Incoterms, delivery orders, etc.), Coordinating order allocation and execution with warehouse partners, Occasionally preparing shipping documentation, including commercial invoices when required
* Monitor shipments and resolve delivery issues, delays, or discrepancies in a timely manner.
* Manage stock returns and ensure accurate reconciliation of inventory movements.
Stock & Sample Management

* Oversee stock control and ensure consistency and accuracy across all systems and locations.
* Coordinate fabric cutting for samples in collaboration with external suppliers, ensuring quality and timely delivery.
* Overseeing the preparation of textile samples to possible clients (which is a manual task which can include fabric cutting and handling)
* Maintain full visibility and ownership of sample and stock flows within the office, enabling efficient day-to-day operations.
Process Improvement

* Continuously evaluate and optimize internal processes, workflows, and system functionality to improve efficiency and scalability.
Office Management & Coordination

* Manage the showroom, ensuring it is consistently well-presented and ready for client visits; provide on-site support when needed.
* Oversee the day-to-day functioning of the office, ensuring it remains organized, fully equipped, and operating smoothly.
* Act as a central coordination point for office operations, leveraging your oversight of stock and samples to support overall team efficiency.

Key Qualifications

* 2-4 years of experience in e-commerce, logistics, supply chain, operations, or a similar coordination role where you managed shipments.
* Experience working with warehouses, couriers, and international shipping processes
* Strong organizational skills with the ability to manage multiple workflows simultaneously
* Experience with ERP systems and solid proficiency in Excel or similar tools
* A proactive, problem-solving mindset with the ability to anticipate needs, take initiative and a hand's on approach
* Excellent communication skills and a customer-oriented approach, fluent in English & Spanish.
* Comfortable working in a fast-paced, growing company environment
Nice to Have

* Experience in textiles, fashion, or materials industry
* Familiarity with sample management or product-based environments
* Previous exposure to office management or administrative coordination
* Interest in sustainability and responsible production
