Job Description:
The Purchase Order/Sample Management Administrator will support seasonal sample management and purchase order (PO) processes, for FLA, SRS, and Bulk Production ensuring accuracy, timeliness, and compliance across sourcing, product development, and vendor operations. They will also support uploading data from EAT to PLM for Costing. This role is based in Mexico and requires strong organizational skills, attention to detail, and the ability to collaborate with cross-functional teams and external vendors.
Key Responsibilities
Sample Management
* Create and maintain seasonal sample order forms.
* Coordinate with internal teams to ensure timely and accurate sample orders.
* Send order forms to vendors and follow up on sample delivery schedules.
* Generate and update sample order POs, including accurate costing once confirmed.
* Develop and manage a sample tracker to monitor sample status.
* Remind vendors of sample order due dates and escalate delays to Product Development (PD).
* Track samples and provide regular status updates to teams.
* Manage special sample requests and create corresponding POs as needed.
* Calculate and report sample costs on a quarterly basis.
* Oversee TOP sample management, including tracking, office check-in, and vendor follow-up.
Purchase Order (PO) & Costing Administration
* Update costing fields in PLM (Product Lifecycle Management) for all costing uploads to Solar using EAT or costing sheets.
* Download costing data from PLM and upload to Solar as required.
* Manage a four-part upload process for PO creation (FOB costs and standard costs).
* Activate PLM styles for PO issuance.
* Create PO upload tools for all POs, including placeholder POs and ELC inclusion.
* Upload PIR templates for PO issuing
* Support biweekly chase processes for all PO work.
* Issue and update POs and Solar records when costs change.
* Assist with HTS (Harmonized Tariff Schedule) processes, ensuring duty and tariff rates are correct and aligned across PLM, Solar, and EAT systems.
Qualifications
* Experience in administrative roles related to sourcing, product development, or supply chain management.
* Familiarity with PLM systems, costing uploads, and PO management.
* Strong attention to detail and organizational skills.
* Ability to communicate effectively with vendors and internal teams.
* Proficiency in tracking and reporting sample and PO status.
* Knowledge of duty and tariff codes is a plus.
* Spanish and English language proficiency preferred.
