Position Summary

At Grand Hyatt Barcelona, one of the city's newest luxury landmarks, we are looking for a detail-oriented and service-driven Billing & Reservations Coordinator to join our Reservations team.
This role is responsible for managing reservation administration, billing processes, payment collection, invoicing, and financial follow-up related to guest bookings. Working closely with Reservations, Finance, Front Office, guests, travel agencies, corporate accounts, and third-party partners, you will help ensure accurate reservation management, timely payment collection, and a seamless guest experience.

Key Responsibilities

* Process, modify, and cancel individual and group reservations in Opera Cloud PMS.
* Verify reservation details, rates, payment methods, billing instructions, and special requests.
* Manage deposits, prepayments, payment links, virtual credit cards (VCC), and billing arrangements.
* Follow up on pending payments with guests, agencies, and corporate clients.
* Generate and review invoices, refunds, and billing adjustments.
* Ensure accurate billing instructions, PM accounts, and folio management.
* Coordinate with Finance regarding payment discrepancies and outstanding balances.
* Respond to billing and reservation enquiries in a professional and timely manner.
* Maintain accurate records and guest profiles in Opera Cloud PMS.
* Support reporting related to arrivals, payments, and billing exceptions.
* Ensure compliance with hotel procedures, financial controls, and data protection standards

Requerimientos del candidato/a:

Skills & Qualifications

* Previous experience in Reservations, Billing, Revenue Support, or Front Office within a hotel environment.
* Strong knowledge of Opera Cloud PMS.
* Understanding of hotel billing, payment, and invoicing processes.
* Excellent attention to detail and organizational skills.
* Strong communication and customer service abilities.
* Ability to manage multiple priorities in a fast-paced environment.
* Proficiency in Microsoft Office, particularly Outlook and Excel.
* Fluent in English and Spanish; additional languages are an asset.
