About the Role

The Compliance Specialist is responsible for ensuring all service workers, vendors, and operational partners meet required compliance standards prior to activation and throughout engagement. This role manages onboarding workflows, background screening processes, and compliance tracking systems to ensure adherence to company policies, client requirements, and regulatory guidelines.

Qualifications

Education & Experience
* Bachelor's degree preferred
* 1-3 years of experience in compliance, procurement or vendor onboarding
* Experience with background screening platforms (e.g., First Advantage, Candid)
* Familiarity with compliance requirements in logistics, transportation, or 3PL environments
* Experience working with vendors and cross-functional teams

Skills & Competencies
* English Proficiency Level: Advanced (C1)
* Strong attention to detail and organizational skills
* Ability to manage high-volume tasks with accuracy and urgency
* Proficiency in data tracking systems (e.g., Airtable, Excel, or similar tools)
* Excellent written and verbal communication skills
* Ability to prioritize tasks and meet deadlines in a fast-paced environment
* Problem-solving skills with a proactive approach

Key Responsibilities

Compliance & Onboarding
* Review and process service worker onboarding submissions for accuracy and completeness
* Ensure all required screenings are completed, including:
* Background checks (e.g., First Advantage or Candid)
* Drug testing (5-panel)
* Motor Vehicle Records (MVR) for drivers
* Verify identification documents and ensure alignment with submitted information
* Enforce compliance standards and ensure no service worker is activated without meeting all requirements

Data Tracking & Systems Management
* Maintain accurate and up-to-date records in tracking systems (e.g., Airtable or internal databases)
* Monitor and update compliance statuses (e.g., Application Pending, Approved, Not Approved)
* Track background check progress, expirations, and renewals
* Ensure required fields (e.g., Order IDs, status codes) are consistently documented

Vendor & Service Worker Communication
* Communicate with vendors and service workers regarding compliance requirements and outstanding items
* Send follow-ups for incomplete onboarding steps (email, SMS, phone outreach as needed)
* Provide clear guidance on corrective actions for failed or incomplete screenings
* Partner with site leaders and vendor points of contact to ensure timely resolution

Issue Resolution & Escalation
* Identify discrepancies (e.g., RightID issues, invalid documentation, expired licenses)
* Escalate complex compliance issues to leadership or appropriate teams
* Coordinate re-runs of screenings when required
* Support dispute processes for background check results

Audit & Reporting
* Conduct regular audits of service worker records to ensure compliance
* Support reporting needs for internal stakeholders and external clients
* Ensure compliance with annual or recurring screening requirement
