Overview The Receptionist in the Warsaw office is responsible for managing daily front desk operations and delivering a high-quality experience for employees, clients, and guests. This role ensures a welcoming, professional, and safe workplace environment, contributing to a positive office culture. Key Responsibilities Manage day-to-day reception activities across agency offices Provide excellent customer service and create a positive experience for employees, clients, and visitors Welcome guests, handle inquiries, and support general office coordination Ensure a friendly, engaging, and safe workplace environment Build and maintain strong, positive relationships with employees, clients, and guests Support internal teams with administrative and coordination tasks as needed Ensure all duties are performed in line with company Security Policies Comply with all applicable legal regulations and internal procedures Deliver services in line with agreed KPIs and Service Level Agreements (SLAs) Meet established monthly deadlines in cooperation with the direct manager Responsibilities Quality, Health, Safety and Environment: Abide by all Health & Safety Policies and Procedures to ensure a healthy and safe working environment. Reporting all accidents and emergency situations Understanding of fire safety regulations and assistance during building evacuation and fire drills Operations: You actively contribute to team meetings, where applicable You ensure all specific reception issues are logged and information is shared with your direct manager Cooperation with cleaning and technical services and other if needed You proactively ensure reception office space is tidy and presentable at all times Assist with coordinating logistics for internal events, if required Preparation meeting rooms for the clients You have a knowledge of all available tools i.e Workspace, CSR, IMAC, GBT AMEX Travel arrangements for the agencies Office supplies ordering and distribution. Post distribution and cooperation with courier services Answering calls and agency regular mail box management People: You understand you development needs and actively create your personal development plan Ensure that holidays are planned efficiently in cooperation with direct manager and your team Supplier Management: Regular feedback regarding suppliers performance and service delivery Finance: Follow requisition/PO process at all times, ensuring no works carried out by supply chain without valid PO Project and Programs: Supporting building related projects and renovations your team is involved in Actively look for innovation that will improve any aspect of the reception services Supporting all internal/external moves and relocations Qualifications Strong interpersonal and communication skills Customer-oriented mindset with a proactive approach Ability to multitask and manage priorities effectively Professional attitude and high level of reliability Basic administrative and organizational skills Additional information Employment contract Modern office in a business district of Warsaw Private medical care Cofinancing of the MultiSport card Cofinancing of leisure time Opportunity for professional development International cooperation Culture of dialogue and openness to initiative Friendly working atmosphere Work-life balance No dress code
