Work Timing:
Monday - Thursday 7:30am - 3:00pm
Friday - 8:00am - 6:00pm

Job Description
As the first point of contact: Receiving visitors at the front desk positively by welcoming, directing, and announcing them appropriately. Provide excellent customer service to employees, customers, clients, and guests. Respond to inquiries and point visitors in the right direction. Ensure reception area is tidy and presentable.

Offer guests and clients refreshments upon their arrival and seating them in the appropriate meeting room. Establish relationships and build rapport with employees, clients, and guests.

Ensures compliance with Genpact company rules and regulations in the reception area.

Manage and update calendars and schedule meetings for GLC, as well as appointments for clients and guests. Composing and forwarding emails for confirmation and cancellations for conference rooms and office requests.

Schedule outside conference room requests with: WeWork, Regis, and Up Flex.

Ordering and setting up lunches for all meetings. Keeping conference rooms clean and neat for each meeting. Maintain food receipts and credit card and return to employee at the end of meetings.

Creating and issuing Genpact access cards and requesting building access card from CBRE.

Maintain office security and follow safety procedures and controlling access. Input and monitor visitor system with check in processing: guests, clients, and other Genpact office personnel.

Display the filings of the application for permanent Alien Labor Certification for the Immigration department.

Self-starter and team player. Must be able to work independently as well as in a team-oriented environment to accomplish assigned tasks and goals. Be flexible and adapt to change easily. Must have a customer service attitude.

Must be well organized, detail-oriented, and multitask, with the ability to effectively prioritize assignments while maintaining composure in high pressure and fast-paced office.

Responsible for monitoring the cleanliness of the NY office and preparing daily reports for management.

Ability to be resourceful and proactive when issues arise and respond quickly to emergencies in an effective manner, while streamlining operations.

Serves as back up to the Office Manager/Manager Trainee.
Participates in the organization and set up of office events.

Responds to requests for "outside office tasks" such as submitting documentation at the Embassy.

Recommend hotels and restaurants to out of town individuals upon request.

Answering, screening, and forwarding incoming phone calls

Receiving, sorting, and scanning daily mail and notify employees of packages delivered to the front desk.

Prepare, send, and receive Fed Ex items for office and WFH personnel.

Order office supplies and snacks and keep inventory of stock.

Velo binding reports as requested for GLC.

Other duties as requested.
