Role Overview
We are seeking a highly organized, proactive, and discreet Executive Assistant to provide high-level administrative and operational support to senior executives at EMEA level. This role requires excellent organisational skills, sound judgement, and the ability to manage multiple priorities across time zones in a fast-paced, international environment.
Key Responsibilities
* Diary Management: Proactively manage complex calendars across multiple time zones, including scheduling meetings, preparing agendas, and ensuring optimal time management for executives.
* Email Screening: Act as a gatekeeper for executive inboxes, prioritising correspondence, drafting responses where appropriate, and ensuring timely follow-up.
* Travel Planning & Arrangements: Coordinate domestic and international travel, including flights, accommodation, visas, and ground transport; prepare detailed travel itineraries.
* Expense Management: Track, prepare, and submit expense reports in line with company policies; liaise with finance teams as required.
* Event Organisation: Support the planning and coordination of internal and external meetings, leadership events, and EMEA-wide workshops, both virtual and in-person.
* General Executive Support: Prepare presentations, meeting materials, and confidential documentation; handle ad-hoc administrative tasks as needed.
Candidate Profile
* Proven experience as a Personal Assistant or Executive Assistant, ideally supporting senior or executive-level stakeholders in an international environment.
* Excellent organisational and time-management skills with strong attention to detail.
* Ability to manage confidential and sensitive information with the highest level of discretion.
* Strong written and verbal communication skills; professional and confident stakeholder interaction.
* Comfortable working across cultures and time zones within an EMEA context.
* Advanced proficiency in Microsoft Outlook, Office 365, and other common business tools.
* Fluent English is required; additional EMEA languages are a strong advantage.
