What this opportunity involves:
As a Facilities Coordinator at JLL, you'll play a vital role in supporting seamless day-to-day operations across our client facilities. This hands-on position sits at the heart of our service delivery model, where you'll coordinate maintenance activities, manage vendor relationships, and ensure our sites remain safe, functional, and well-maintained. You'll serve as a key point of contact for facilities requests, working closely with the Facilities Manager and wider team to deliver exceptional service outcomes. From coordinating work orders and managing contractor activities to supporting financial processes and risk management programs, you'll gain broad exposure across all aspects of modern facilities operations. An overview of the role:
* Coordinate facilities administration and operational tasks for the Facilities Manager and wider team, managing both planned activities and responsive requests
* Serve as the primary contact for the Facilities Help Desk and email inbox, logging work orders and ensuring timely response to service requests
* Prepare and issue work orders, coordinate trades and contractors, liaise with building management and security teams, and oversee outsourced service providers while on site
* Conduct regular site inspections and report findings, escalating issues appropriately and helping maintain premises in a safe, neat, and functional condition
* Organize and schedule planned maintenance works, maintain calendars and filing systems, and provide scheduled reporting data to support operational transparency
* Support the Local Physical Records Manager with the online archiving and retrieval system, including access approvals, user assistance, and quality checks of archived materials
* Assist with monthly team reporting across helpdesk performance, finance, and utilities, contributing to data-driven decision making
* Manage and supervise on-site contractors during inspection works, complete contractor site inductions, and coordinate with building management and security as required
* Support procurement activities, financial processes including the approvals register, and conduct regular health and safety audits to confirm compliance with established procedures

Sounds like you? This is what we are looking for:
* 1-3 years of experience in facilities management, property management, or a related operational discipline
* Working knowledge of local occupational health and safety requirements and regulations
* Proven ability to deliver high-quality customer service and build effective stakeholder relationships across diverse audiences
* Strong organizational skills with demonstrated attention to detail and ability to manage multiple competing priorities simultaneously
* Excellent written and verbal communication skills, with the ability to engage professionally with staff at all levels including senior stakeholders
* Proficiency in problem-solving and ability to navigate ambiguity while maintaining focus on practical solutions
* Self-motivated with a proactive approach to identifying and addressing operational issues before they escalate
* Experience working in critical environments or specialized facilities operations (preferred)
* Demonstrated experience managing third-party vendors for specialized services and ensuring contract compliance (preferred)
