A Snapshot of Your Day
You will join a team responsible for workplace hardware services and support the delivery and continuous improvement of computers, monitors and related equipment. You will work under the close guidance of the team's Service Manager and experienced colleagues, who will help you understand the processes, tools and service management practices used in daily operations. Through structured onboarding, regular feedback and hands-on coaching, you will gradually build practical experience in operational coordination, process documentation, reporting, user acceptance testing and stakeholder collaboration.
The position focuses on hardware requested through an online service portal. With support from the Service Manager and senior team members, you will assist with service catalogue updates, implementation checks, data and reporting activities, operational follow-up, service partner onboarding and the resolution of hardware service issues across different countries. Tasks will be assigned according to your experience and development progress, with increasing responsibility as your knowledge grows.
How You'll Make an Impact
* Support the documentation and improvement of processes for requesting, approving, delivering, replacing, returning, collecting and retiring computers, monitors and related workplace hardware.
* Help maintain service catalogue content, process descriptions, user guidance and operating procedures for standard orders, replacements, additional devices, repairs, lost or stolen equipment and returns.
* Assist with the assessment and documentation of service changes by gathering information, recording requirements and preparing supporting materials.
* Participate in user acceptance testing by preparing test cases, executing agreed tests, documenting results, reporting defects and supporting validation after updates are released.
* Track incidents, operational issues and follow-up actions, and help organize the information required to identify causes and implement corrective measures.
* Prepare and validate operational reports covering order status, device information, stock, delivery, collection and hardware lifecycle data.
* Support data-quality checks, identify missing or inconsistent information and coordinate clarifications with the responsible teams.
* Assist with day-to-day collaboration between business contacts, IT support teams and external service providers regarding orders, deliveries, collections, stock movements and operational handovers.
* Monitor stock and order information and help prepare clear communications about shortages, delays, temporarily paused requests and process changes.
* Support the introduction or migration of hardware services across countries or business units by maintaining checklists, action logs, documentation and status updates.
* Prepare meeting materials, presentations, workshop content, process documentation and management updates with clear guidance and review from the Service Manager or senior team members.
* Maintain action trackers and follow up on agreed tasks, deadlines and open points.
* Contribute ideas for automation, standardization and continuous improvement of workplace hardware services.
* Follow agreed service management, security, data protection and quality standards in all assigned activities.
What You Bring
* Currently enrolled in a bachelor's or master's degree program, preferably in information technology, computer science, business informatics, engineering, business administration or a comparable field.
* Interest in IT service management, workplace technology, hardware operations, process management or digital transformation.
* Basic understanding of IT support processes, service catalogues, incident management, change management or hardware lifecycle topics is an advantage.
* Initial experience gained through university projects, internships, student organizations or part-time work is beneficial but not required.
* Good analytical and organizational skills, with attention to detail and a structured approach to tasks.
* Confidence working with Microsoft 365 applications, especially Excel, PowerPoint, Word, Outlook and Teams.
* Interest in working with reports, operational data and process documentation; experience with ServiceNow, Power BI or similar tools is an advantage.
* Willingness to learn, ask questions, act on feedback and take responsibility for assigned tasks while working closely with the Service Manager and senior colleagues.
* Clear written and verbal communication skills and the ability to present information in a concise and well-structured way.
* Good written and spoken English.
