The Retail Finance Assistant that will serve as the right hand to our Director of Finance, Accounting. In this role, you will perform period end close activities including review and analyze P&L accounts and balance sheets, prepare journal entries and reconciliations, prepare, and maintain business licenses and monthly. Support operations by providing excellent customer service to internal and external customers. This position will handle confidential and sensitive information.
What you can expect:
Responsibilities include, but not limited to the following:
* Interprets, streamlines and formats large amounts of financial data in an organized manner.
* Prepare period end journal entries in accordance with the Company's accounting close schedule, including standard entries and accruals.
* Review period end credit card fees, chargebacks and cash discrepancy posted to P&L, and analyze variances between prior year versus budget and investigate root causes.
* Prepare period end/monthly account reconciliations for Retail/Ecomm bank accounts, credit cards, cash, gift cards, and chargeback tracker; analyze, correct and be able to explain any variances for OUT, DOS and Digital
* Follow up, track and resolve credit card chargebacks, and explain variances to FD
* Resolve issues related to cash receipts, cash deposits, bank reconciliations and other items that may arise.
* Reconcile and follow up discrepancies with "Brinks" pick services
* Reconciliation of daily sales transactions to the bank account postings for each of the main tender types
* Investigating and resolving any discrepancies, which includes journals where the incorrect tender type has been used
* Detailing and resolve any remaining variances between the till system and the bank statement onto a cash variance tracker sheet for review with the FD and Head of Retail.
* Notifying Area Managers and LP of any cash variances immediately for further investigation in store as well as instructing the bank and cash collection company to investigate where necessary. Keep tracker with discrepancy, actions, resolution and dates
* Assist with state sales, use tax audits and year end audits.
* Review and follow up on refund to customer checks generated from Accounts Payable in comparison to underlying support (AP check register/email).
* Maintain all business licenses, retail related surveys, permits, personal & real property taxes and miscellaneous licensed and permits. Update tracker and review with FD.
* Ensuring new sites have hardware to process card transactions, floats ordered and cash collection schedule is set up
* Completing relevant forms to order new banking books as and when required
* Weekly meetings with FD on any issues with credit cards, cash, credit card chargebacks, etc
* Assist others in the department when needed.
* Assist with ad hoc reporting and analysis when required
* Perform other job-related duties as assigned
Your profile:
* Bachelor's degree in finance or accounting
* Minimum 1-3 years of experience
* Industry (Retail/WHS/eCommerce) is plus
* Must be able to work independently/take initiative
* Proficiency in both written and spoken English is required
* Excellent communication, organizational, and leadership skills
* Proficiency in at least mid-level Excel is a must
* Has a track record of being highly dependable and organized, and can handle multiple assignments at once, work quickly and meet deadlines in a fast-paced environment
* Must be able to prioritize workload
* Strong attention to detail and organization skills
* Work collaboratively across functions and all levels
* Willingness and desire to pitch in and support as necessary with work outside the listed responsibilities
* SAP experience a plus
