Join our team as Service Planner in Vantaa, Finland!

We are seeking a proactive Services Planner to support our Field Services organization at Schneider Electric! In this critical role, you will coordinate and schedule field service operations at customer sites, ensuring the right parts, tools, documentation, and qualified Field Service Representatives are in place to deliver efficient, high-quality service that meets both customer expectations and workforce optimization objectives.

What will you be doing?

* Prepare and validate Work Orders
Review and enrich incoming Work Orders to ensure all required information is accurate and complete (scope, customer details, installed base, urgency, Service Level Agreement, execution time, and contractual terms).
* Plan and prioritize service activities
Manage and prioritize the backlog based on customer criticality, resource availability (Field Service Representatives, subcontractors), customer constraints, and material readiness.
* Schedule field interventions efficiently
Assign and schedule work orders over a mid-term horizon (e.g. up to 3 months), optimizing resource utilization by minimizing travel, downtime, and overtime, and grouping interventions where possible.
* Ensure readiness for execution
Confirm that all prerequisites are in place for successful intervention (parts, tools, access requirements, safety conditions, instructions, and accurate system data).
* Coordinate with stakeholders
Work closely with Field Service teams, Order Management, Technical Support, and other internal stakeholders to align on priorities, resource allocation, and service delivery objectives.
* Communicate proactively with customers and teams
Confirm appointments, clarify expectations, and share relevant constraints with both customers and technicians to ensure smooth execution.
* Monitor execution and adjust as needed
Track ongoing interventions, support field teams remotely, and proactively reschedule or adjust plans in case of changes or issues.
* Maintain data quality and reporting
Ensure accurate and timely updates in service management and CRM systems (e.g. work order status, billable data, deviations, service reports).
* Support external technician administration
For non-connected subcontractors, complete work order updates such as time entries, reports, and deviations.
* Drive continuous improvement
Participate in operational reviews and use performance data to improve planning efficiency, resource utilization, and service quality.

* Experience or background in service planning, coordination, or operational support roles

* Strong organizational skills with the ability to manage multiple tasks, priorities, and schedules simultaneously

* Good understanding of service operations, planning processes, and administrative workflows

* Ability to work independently with minimal supervision while escalating issues when needed

* Strong communication skills to collaborate effectively with internal teams and proactively engage with customers, ensuring clear alignment, smooth coordination, and a high level of customer satisfaction

* A structured, solution-oriented mindset with attention to detail, quality standards, and compliance guidelines

* Flexibility and adaptability to respond to operational needs: ensure service continuity and meet customer commitments

* Proficiency in MS Office applications (Excel, Outlook, Word, Power Point) is essential
