Job Description
Join our Global Corporate & Investment Banking team in Madrid as an Administrative Assistant, supporting day-to-day team operations in a fast-paced environment. This role provides a strong foundation in core administrative and logistical support, offering the opportunity to build skills and develop within a leading global banking platform.

You will provide essential administrative and logistical support, including diary coordination, internal meetings and conference calls, expense management, and day-to-day team logistics such as taxis and scheduling.

This role is well suited to an organised and proactive individual looking to build a career in banking support. Strong attention to detail, good communication skills, and the ability to manage multiple tasks effectively are key. Fluent English language is required in addition to Spanish.

Responsibilities
* Process expenses in Concur and Appian accurately and on time - ensuring compliance with internal policies and guidelines
* Proactively identify and escalate any out of policy expenses to the Business Manager
* Maintain accurate records and ensure adherence to internal procedures and controls
* Develop a solid understanding of internal systems and processes
* Support with team logistics, including arranging taxis and checking flight and train schedules via the travel platform

As you develop in the role, you will have the opportunity to take on a broader range of administrative and coordination responsibilities, supporting the team more widely.
* Provide general administrative support and assist with ad hoc tasks
* Arrange internal conference calls and video meetings
* Filing call reports on a weekly basis using Salesforce
* Manage emails and incoming calls, responding or escalating where needed

What we are looking for
* Experience in expense processing
* Strong organisational skills and attention to detail
* Ability to manage multiple tasks and prioritise effectively
* Proactive, reliable and willing to learn
* Advanced Microsoft Office skills, particularly Outlook
* Good communication skills, with confidence interacting with colleagues
* Fluency in English (written and spoken) in addition to Spanish
