"We are looking for a Chinese-speaking Administrative Affairs Specialist for our China-based global client for whom we provide consultancy services."
Job Description
* Provide daily administrative support including office supply procurement, inventory tracking, facility coordination, and communication with property management.
* Arrange employee business travel (flight, hotel, transportation) and process travel expense reimbursements in accordance with company guidelines.
* Draft, translate, edit, and file official documents, correspondence, meeting minutes, and notices in both Chinese and Turkish.
* Ensure accurate and timely document flow between the local team and Chinese headquarters, and maintain an organized filing system.
* Support internal and external meetings by preparing materials, arranging venues, providing on-site interpretation, taking minutes, and following up on action items.
* Assist in the organization of corporate events, celebrations, and team-building activities.
* Act as a communication bridge between the Turkish team and Chinese headquarters, ensuring smooth cross-cultural communication.
* Provide translation support for daily communication, business negotiations, and video conferences.
* Support local administrative procedures, including invoice issuance, social security registrations, and liaison with government institutions.
* Assist in the management and renewal tracking of company licenses, seals, and certificates.
* Compile administrative data and assist in monthly/quarterly reporting.
* Participate in the inventory, tracking, and updating of company assets such as office equipment and IT devices.
* Execute additional administrative tasks assigned by the supervisor and provide operational support to other departments as needed.
Qualifications
* Native or near-native proficiency in Turkish and fluent proficiency in Chinese (both written and spoken).
* Ability to perform accurate translation and interpretation between Turkish and Chinese.
* Bachelor's degree in Administration, Secretarial Studies, International Business, or a related field.
* 1-2 years of administrative or secretarial experience preferred; experience in multinational or Chinese-funded companies is an advantage.
* Fresh graduates with excellent language skills and relevant internship experience will also be considered.
* Strong command of Microsoft Office (Word, Excel, PowerPoint, Outlook) and general office automation tools.
* Basic understanding of Turkish local labor laws, tax regulations, and administrative procedures is preferred.
* Excellent communication, organization, multitasking, and problem-solving skills.
* Strong sense of responsibility, attention to detail, and ability to work efficiently in a cross-cultural environment.
