Duties and Responsibilities
The Convention on the Conservation of Migratory Species of Wild Animals (CMS) is a global intergovernmental treaty aimed at the conservation and sustainable use of migratory species and their habitats. Numerous additional intergovernmental instruments on migratory species conservation have been adopted under the broad umbrella of CMS which are supported by the CMS Secretariat. The CMS Secretariat also provides the Secretariat for the Agreement on the Conservation of Small Cetaceans of the Baltic, North East Atlantic, Irish and North Seas (ASCOBANS). In addition, two regional agreements on migratory species adopted under CMS have their own Secretariats which are co-located with the CMS Secretariat in Bonn - the Agreement on the Conservation of African-Eurasian Migratory Waterbirds (AEWA) and the Agreement on the Conservation of European Populations of Bats (EUROBATS). The United Nations Environment Programme (UNEP) is the United Nations system's designated entity for addressing environmental issues at the global and regional level. Its mandate is to coordinate the development of environmental policy consensus by keeping the global environment under review and bringing emerging issues to the attention of governments and the international community for action. In the present context, UNEP provides the administrative functions for the CMS, AEWA, ASCOBANS and EUROBATS Secretariats. The position is located at the Secretariat's offices in Bonn, Germany. Under the direct supervision of the Administrative Officer. The intern's responsibilities will include, but are not limited to, the following: * Assist in the compilation, verification, and review of data and supporting documentation required for the analysis of financial and administrative reports. * Assist in the extraction and preliminary analysis of data from the UN Enterprise Resource Planning system (Umoja) and highlight any inconsistencies or areas of concern. * Assist in the preparation of Terms of Reference related to the operational needs of the Secretariat, such as office supplies, printers, and other administrative requirements. * Support the preparation of meetings and trainings, including contributing to PowerPoint presentations, background documents, and other related materials. * Assist in the migration, organization, and restructuring of AFMU folders to the SharePoint platform, ensuring compliance with internal filing standards. * Provide support during the year end closure exercise, including reviewing obligations and liaising with Programme Officers. * Support the updating of internal administrative workflows. * Support the upgrade and optimization of internal processing workflows, including the use and improvement of the Request Management System (RMS) * Assist with inventory management, including reviewing existing inventory records, supporting stock control, and helping identify outdated or obsolete items. * Support the review, organization, and disposal of obsolete physical and electronic files in accordance with UN records management and archiving guidelines. * Perform any other related administrative duties as required.
Qualifications/special skills
Applicants must meet one of the following requirements: (a) be enrolled in, or have completed, a graduate school programme (second university degree or equivalent, or higher); (b) be enrolled in, or have completed, the final academic year of a first university degree programme (minimum bachelor's degree or equivalent). Preferred area of study: A degree programme in Business Administration, Public Administration, Finance, Accounting, Economics, Information or Data Management, Management, Operations, or a related field. It is highly desirable if candidates have the following competencies: * Good Knowledge of Microsoft Excel, including the use of formulas, pivot tables, data analysis, and structured tracking tools * Ability to organize, analyse, and present data in a clear and structured manner. * Familiarity with administrative, financial, or request tracking processes is desirable. * Experience with data clean up, workflow documentation, or inventory tracking is an asset. Applicants to the UN Internship Programme are not required to have professional work experience. However, a field of study that is closely related to the type of internship that you are applying for is required. Applicants must be a student in the final year of the first university degree (bachelor or equivalent), Master's or Ph.D. Programme or equivalent, or have completed a Bachelor's, Master's or PH.D. Languages
English and French are the working languages of the United Nations Secretariat. Fluency in spoken and written English is required for the internship. Knowledge of an additional official UN language is an advantage. Arabic, Chinese, English, French, Russian and Spanish are the official languages of the United Nations Secretariat
