We are looking for Human Resource Intern.

Position Overview

The Human Resources (HR) Department at BOSWM Malaysia supports the organisation's workforce management, employee development and engagement initiatives. The department plays a key role in ensuring compliance with company policies and labour regulations while fostering a positive and productive workplace environment.

The intern will be exposed to core HR functions including recruitment coordination, onboarding processes, employee records management, training support, and general HR administration.

Key Responsibilities

Recruitment & Onboarding Support
* Assist in job posting on platforms (e.g. LinkedIn).
* Share relevant resumes to Head of HR for filtering.
* Coordinate interview scheduling with hiring managers.
* Prepare onboarding documents and staff announcements.
* Assist in new hire onboarding and orientation arrangements.
* Maintain employee records in HR checklists.

Employee Records & Administration
* Assist in filing and documentation.

Employee Benefits & Insurance Administration
* Assist in Employee Share Purchase Plan (ESPP) administration.
* Support insurance processes (quotation requests, staff communication, documentation).
* Handle employee claimOffboarding Supports processing and submission to providers (e.g., MiCare, GE).
* Assist in tracking staff movement and update benefit providers.

Learning & Development
* Coordinate training registrations and learning requests.
* Assist in HRDC grant applications and documentation preparation.
* Maintain and update employee training records.

Compliance & Regulatory Support
* Assist in licensing documentation and submissions.
* Maintain compliance records (e.g., Fit & Proper declarations, CPE tracking).

Reporting & HR Operations
* Assist in preparing monthly HR reports (ORI, RCSA, etc.)
* Support internal reporting to management and risk teams.
* Help track and monitor HR metrics and staff-related data.

Communication & Coordination
* Draft and send HR communications (emails, reminders, announcements).
* Liaise and support coordination with internal departments.

Offboarding Support
* Assist in resignation processing and documentation.
* Prepare acceptance letters and track clearance checklist.
* Support Offboarding documentation and maintain HR Checklist.

General HR Support
* Provide administrative support to BOSWM MY Head of HR on daily operations.
* Assist and support in ad-hoc HR projects and initiatives (e.g. Employee Engagement activities).
* Support compliance preparation and documentation reviews.

Qualifications
* Bachelor's Degree in Human Resources Management or Development, Business Administration or any other relevant field.

Work Requirements

Administrative & Organizational Skills
* Strong attention to detail and accuracy in handling HR documents.
* Good record-keeping and filing skills (both physical and digital).
* Ability to manage multiple tasks and meet deadlines.

Communication Skills
* Good written and verbal communication in English (and Bahasa Malaysia is an advantage)
* Ability to draft professional emails, letters, and memos.
* Comfortable liaising with internal teams, external vendors, and employees.

Microsoft Office & Digital Skills
* Proficient in Microsoft Excel (basic formulas, data entry, tracking).
* Working knowledge of Microsoft Excel, Word and PowerPoint.

Confidentiality & Integrity
* Ability to handle sensitive employee information with discretion.
* Strong sense of responsibility and professionalism.
* Understanding of data privacy and confidentiality in HR practices.

Analytical & Problem-Solving Skills
* Basic analytical skills for checking, report preparation, and data verification.
* Ability to identify discrepancies and follow up for correction.
* Logical thinking when handling HR processes and compliance requirements.

Interpersonal Skills
* Good teamwork and collaboration within HR team and cross-functional departments.
* Positive attitude and willingness to learn.
* Ability to interact professionally with employees at all levels.

Learning Agility & Adaptability
* Fast learner with the ability to adapt to lean environment.
* Open to handling different HR functions (recruitment, compliance, L&D, etc.).
* Willing to take initiative and handle ad-hoc tasks.

Basic HR Knowledge
* Basic understanding of HR functions (recruitment, payroll, employee lifecycle).
* Exposure to Malaysian labour practices/regulations is an added advantage.

Time Management & Coordination
* Ability to prioritize tasks and manage schedules (e.g., interviews, reporting deadlines).
* Good coordination skills when handling multiple stakeholders.

Attention to Compliance & Detail
* Careful when handling compliance-related documentation (e.g., licensing, reporting, contracts).
* Ability to follow standard operating procedures and guidelines accurately.
