ROLE SUMMARY:
Provides comprehensive office management and administrative support across the Benelux and Nordic region, ensuring operational continuity, organisational effectiveness, and compliance with company policies and local regulatory requirements.
The role acts as a central coordination point across multiple countries, managing an operational scope, including workplace management, vendor coordination, and financial administration. It supports a consistent, scalable, and high-quality workplace environment while reducing administrative burden on business teams.
In a context of evolving operating models and multi-entity environments, the role requires strong ownership, coordination skills, and the ability to operate effectively across diverse regulatory frameworks.
WHAT YOU'LL BE DOING:
1. Regional office operations & workplace management
* Ensure the smooth day-to-day running of offices across Benelux and Nordics
* Coordinate office services (facilities, supplies, equipment, workplace vendors) across multiple locations
* Support onboarding and offboarding from an operational perspective (access, equipment, vendor coordination)
* Contribute to maintaining consistency and quality of the workplace experience across countries
2. Invoice management & financial administration
* Manage end-to-end invoice processing through OpenText and related systems in a high-volume, multi-country environment:
* Prepare and validate invoice coding (company code, GL, cost centre, vendor ID)
* Submit invoices for scanning or upload and track processing status
* Maintain accurate tracking and ensure timely follow-up
* Handle both standard and electronic upload invoices (e.g. telecom, fleet, office services)
* Act as a key liaison with Accounts Payable via ServiceNow to resolve invoice queries, payment issues, and reminders
* Manage One-Time Vendor Payment (OTVP) requests, ensuring complete documentation and approvals
* Support supplier set-up, onboarding, and data updates in collaboration with Procurement (Ariba, SRF, IRQ), ensuring compliance with internal controls
* Ensure compliance with the "No PO - No Pay" policy by converting standard invoices into PO-based invoices:
* Create Purchase Requisitions (PRs) for supplier invoices currently processed in OpenText
* Follow the PR approval workflow through to Purchase Order (PO) creation
* Liaise with Accounts Payable to track PO issuance and resolve any delays
* Communicate PO numbers to suppliers and ensure they are correctly referenced on invoices
* Manage and prioritise a high volume of PR and PO requests within often extended approval timelines
3. Vendor & contract coordination
* Act as the primary point of contact for local and regional vendors across multiple countries
* Coordinate supplier onboarding, changes, and compliance requirements, ensuring adherence to company processes
* Ensure suppliers are aligned with invoicing channels and payment policies (e.g. transition to digital invoicing such as Peppol where applicable)
* Monitor service delivery and proactively escalate issues to ensure business continuity
4. Stakeholder management & regional coordination
* Liaise with key internal stakeholders including Finance (AP), Procurement, HR, Benefits, IT, Facilities, and local business teams
* Operate as a coordination hub across countries with multiple legal entities and local specificities
* Provide back-up support for critical administrative activities to ensure operational continuity
5. Administrative governance & reporting
* Maintain accurate records, logs, and trackers (invoices, tickets, supplier data, etc.)
* Ensure transparency, audit readiness, and compliance with internal procedures
* Produce reports and provide visibility on operational and financial activities
* Support process documentation, standardisation, and continuous improvement initiatives
6. Operational flexibility & business support
* Coordinate country-specific processes (e.g. mobile phone provisioning, local vendor management)
* Act as a flexible support resource for ad hoc business and corporate needs (e.g. RFP support, data requests, operational back-up)
* Adapt to evolving organisational needs and contribute to a more scalable, regional operating model
WHAT YOU'LL BRING:
* Proven experience in Office Management, Administrative Operations, or similar environment, with strong exposure to financial administration and vendor management
* Ability to operate effectively in a complex, multi-country environment, navigating multiple stakeholders, legal entities, and evolving processes
* Strong organisational skills and attention to detail, with the ability to manage high volumes of activities with accuracy and discipline
* High level of ownership, accountability, and reliability, ensuring continuity of operations and consistent delivery
* Proactive and solution-oriented mindset, with the ability to anticipate needs and drive issues to resolution independently
* Strong collaboration and stakeholder management skills, building effective relationships across Finance, Procurement, HR, and business teams
* Ability to manage competing priorities and adapt in a fast-paced, changing environment
* Focus on operational excellence, ensuring compliance, transparency, and efficiency across processes
