The Opportunity
Are you highly organized, digitally savvy, and ready to provide top-tier administrative support to a global leadership team? As our Administrative Assistant based in Sant Cugat, Spain, you will provide critical support to the Head of the Procurement Center of Excellence (CoE) and the CoE Leadership Team. In the context of the Diagnostics Global Operations transformation ("FOM"), this role is critically based in Sant Cugat to support our evolving, globally distributed organization.
* Reporting Line: Reports directly to the Head of Procurement Center of Excellence and is part of the wider Procurement Center of Excellence (CoE).
* Wider team and stakeholders: Interacts closely with the CoE Leadership Team, Category, Delivery, the broader DOP team in Sant Cugat, and the Executive Assistant to the Head of DOP.
* Role Type: An operational and tactical support role with a global scope.
* Impact: You will be the organizational backbone of the CoE, ensuring seamless operational continuity, optimized digital workflows, and a strong departmental culture. Specifically, you are accountable for:
* Executive & Administrative Support: Providing high-level support by proactively managing complex calendars and mailboxes, coordinating end-to-end business travel logistics and expenses, and acting as an active deputy within the administrative support team.
* Meeting & Event Coordination: Independently coordinating CoE Leadership Team meetings, workshops, and global CoE Huddles. You will facilitate meeting flows, manage timelines, and organize large internal and external events or team-building activities.
* Digital Workplace & Tools Master: Acting as a "Super User" for collaboration tools like Monday.com to design optimized boards, track action items, and automate workflows. You will also own the department's internal G-Site, ensuring templates and SOPs are organized and up to date.
* Onboarding & HR Administration: Managing the full onboarding lifecycle for new Direct Procurement employees, including hardware/software provisioning and training matrix implementation. You will also handle time management support for the Sant Cugat team and HR administration for external consultants.
* Communication & Community Building: Drafting and coordinating leadership announcements and organizational success stories, while facilitating cross-site cultural exchanges and networking events to connect the Sant Cugat team with global hubs.
Who you are
We look for a proactive, culturally intelligent professional who thrives in a dynamic environment and excels at supporting a globally distributed team and a manager who is not co-located.
* Education: A University degree is preferable.
* Experience: 1 to 3 years of experience in a similar administrative or executive support role.
* Organizational Mastery: Excellent organizational capabilities with a proven ability to manage complex logistics, prioritize effectively, and serve as the central go-to person for a leadership team.
* Digital & AI Savviness: Strong digital fluency. You are comfortable adopting and optimizing new technologies, automating workflows, and managing digital knowledge platforms (e.g., G-Sites, Monday.com).
* AI & Digitalization: You have a strong affinity to explore AI-driven solutions broadly, particularly regarding the digital transformation of operations (Digital 2.0 / Industry 4.0).
* Languages: Business-level fluency in English is required.
