Engineering & Building Performance Coordinator
Location: 22 Bishopsgate, London
Reporting to: Senior Engineering Manager
Service Partner: Inetrface with - Hard Service Maintenance Provider, Lift Maintenance Provider, Fabric Provider

Under the mentorship of the Senior Engineering Manager, you will learn to manage, challenge, and direct our expert service partners. Your role is not to hold the screwdriver, but to ensure the people who do are delivering exceptional value and innovation. You will translate complex data into performance conversations and hold contractors accountable for results whilst maintaining information and a safe and compliant approach. This is the ultimate foundation for a career in technical management and strategic property leadership. You will provide technical assurance to the managing agent
Ensure every engineering decision and maintenance intervention contributes to creating an environment where occupiers thrive, systems excel, and our building continues to set new standards for operational brilliance in commercial real estate.
What your day to day will look like:
Planning & Execution
Task
* Review high-level and detailed contractor performance dashboards to identify trends and anomalies for discussion from a client perspective.
* Provide regular feedback to the contractor on performance communicating improvement opportunities.
* Issue combine team performance reporting for senior leadership to understand building performance data metrics
* Work with specialist service partners on areas requiring deeper investigation and formal reporting.
* Ensure that all engineering information is up to date and structured in a way that supports a data led environment
Measure
* Communication and measures structured in a detailed way with each of the relevant service partners..
* A summary of key trends and anomalies is issued to the Senior Engineering Manager monthly.
* Monthly reports and dashboards gathered together and issued with support from the Data Insight coordinator and other sources.
* Ensure detail brief's and scopes are clearly defined and deliver the required outcomes
* Manage asset registers and equipment lifecycle data
* Change works as built fully incorporated into the data environment
Health & Safety
Task
* Manage the day-to-day operation of the Permit to Work system, from issuance to closure from and engineering perspective.
* Conduct a schedule of on-site safety audits to ensure contractors are adhering to their approved RAMS and provide due diligence as part of the managing agent oversight.
* Investigate all incidents from an engineering perspective and build a programme of continuous improvement.
Measure
* All risk works are carried out under an approved and signed-off Permit to Work.
* A log shows that the agreed quarterly schedule of safety audits is completed and findings are actioned.
* Attend H&S committee meetings
* Documented reports from incidents with CI implemented.
Budget & Financial Management
Task
* Produce the monthly analysis of service partner cost reports against the budget, providing variance commentary.
* Ensure the end-to-end purchase order process for the engineering team is well reported on from creation and approval to final reconciliation against invoices is accurate and timely
Measure
* Monthly cost reports are delivered to the Senior Manager by the 5th working day with >98% accuracy.
* Purchase orders are raised and approved correctly prior to work commencement, with no unauthorised overspends.
Governance
Task
* Coordinate the engineering statutory compliance programme for the engineering team ensuring data is available and meets expectations
* Ensure a full set of Risk Assessments are fully maintained for the Engineering function.
* Ensure all contractor certification is received, validated, and filed correctly post-inspection.
Measure
* A live compliance tracker shows inspections are scheduled ahead of their due date. Produce monitoring reports via the Service Partners escalating where applicable.
* RA tracker fully maintained and demonstrates good governance.
* An annual audit of the compliance folder finds no missing or expired certification.
Stakeholder Management
Task
* Act as a point of contact for all day-to-day communication with technical service partners and consultants.
* Ensure engineering matters are communicated to occupiers and all other stakeholders ina timely manner working with the operations and culture team to ensure they meet the required standards
* Manage the flow of information between project teams and M&E contractors, ensuring alignment during change works and ongoing engineering operations.
Measure
* Comms are issued in a timely manner and all Service Partners are clear on expectations
* Comms are clear, accurate and delivered ina timely manner.
* Positive feedback from project managers on the efficiency of technical coordination.
* LtA and other documents completed in a timely manner
Resource Optimisation & Service Partner Leadership
Task
* Schedule monthly technical performance meetings with service partners. Ensure reports fully report on performance using specific measures and include labour
* Manage contractor performance against contractual SLAs and KPIs, issuing formal notifications of performance.
Measure
* Monthly performance meetings are consistently held with a full set of KPI's and outcomes agreed
* Meeting minutes show clear actions and accountability; a log of KPI performance and remedies is maintained.
Innovation & Future Planning
Task
* Actively seek emerging Engineering and smart building solutions for their commercial viability and potential ROI.
* Support the development and writing of business cases for technology pilot projects.
Measure
* Bring forward innovative solutions and support with driving the innovation agenda
* Contribute to one approved technology pilot project business case within the first 18 months.
Sustainability
Task
* Interpret high-level and detailed energy reports from the building and ensure the data accuracy and timeliness of the reports. Support the SEM engaging with occupiers to optimise their consumption
* Ensure each of the service partners delivers on their ESG commitments, ensuring waste is kept to a minimum.
Measure
* All utility and energy data is validated within 5 working days of receipt, with all queries logged and tracked to resolution.
* A measurable year-on-year reduction in waste is achieved, supported by your reporting
Skills & Experience
Required
* Good Basic Education.
* Experience of Maintenance Delivery or Engineering Principles
* Genuine Interest in developing a career in Engineering
* Highly organised and structured in approach to work
Desirable
* Engineering Qualification or working towards an Engineering Qualification
