Job Description:
We are looking for a talented Administrative Associate to join our team specializing in Service for our Distribution Business (Val-d'Or, QC).
100% Onsite 5x2 Monday - Friday
Administrative work
* Complete timecards for Val Dor technicians from previous day/weekend
* Open and close workorders as required/requested
* Close WIP that is ready to close
* Maintain updates to work orders in progress
* Ensure Warranty data required for warranty is captured/collected
* Maintain schedule of work minimum one month out
* Check in daily on quick serve and warranty dashboard and identify opportunities and solutions on KPI's not meeting target
* Create a log daily/weekly of customer requests for technicians (helps to show customer market)
* Complete weekly payroll
* Assist in closing of workorders in Eastern Canada region
Branch - Facility - Fleet
* Point of contact for emergency call management when in Val Dor
* Work with leader for emergency call management when away from Val Dor
* Open Branch on working days & perform facility walk through for any identified facility issues
* Ensure signage for days not at the branch and determine with manager where to route all incoming calls when away
* Complete the list of contractor contacts with and file in a location shared with leadership when away from the branch
* Arrange fleet vehicle repairs
* Maintain safety and product levels at the branch
* Work with Facility and Safety Admin on tool calibration compliance
* Maintain branch maintenance contractors - lawn care/snow removal, facilities repair through the contractor management process
* Coverall requirements in collaboration with technician supervisors

Candidate Requirements:
Technicians
* Work with Supervisors on communication for assignments, repairs and any local requirements for jobs - coveralls, tooling, PPE
Safety
* Perform monthly safety talks with all staff and enter in the system once completed
* Perform monthly ICARE Audits (Facility)
* Report all incidents immediately to leadership including any parts / warehouse incidents
* Complete monthly facility inspections as per corporate policy
Customers
* First point of contact for all customers' inquiries
* Build quotes for customers
Collaboration
* Work with internal teams to provide great employee and customer experience.
Leadership
* Escalate concerns or customer / staff situations
* Complete additional technician requests form in system and contact leader to escalate to other branches once completed
Education, Licenses, Certifications:
High school diploma or certificate of completion of secondary education or equivalent experience to the extent such experience meets applicable regulations.
Experience:
Significant work experience and in-depth knowledge obtained through specialized training and relevant experience
