Job purpose
Administrative execution and documentation of all relevant HR management processes for the employees of DHL Global Forwarding Management GmbH, e.g. hiring, resignations, contract management, cash register instructions, forms and official information, time recording and absences
File filing and maintenance, as well as list maintenance and data maintenance in the relevant HR systems of the group for the target group
Communication with relevant authorities as well as internal and external contacts
Principal accountabilities
* Administration and implementation of HR application processes, including, but not limited to notifications and approvals, system administration, as well as handling changes such as maternity leave, parental leave, sabbaticals, and visa/work permit matters.
* Preparation and drafting of formal documentation throughout the employee lifecycle, including employment contracts, contractual amendments, employment certificates, and responses to inquiries.
* Support and coordination of onboarding and offboarding processes for employees and interns.
* Providing guidance and coordination with relevant internal departments (e.g., Fleet, ID card services, Security, Reception).
* Maintenance and administration of employee files, lists, and HR data for all staff, including executives and interns.
* Creation and processing of personnel-related transactions, such as registrations, deregistrations, re-registrations, and preparation of cash register instructions, as well as instructions for other HR-related functions (e.g., HR Services, Payroll, Travel Expense, Fleet Management).
* Provision and transmission of relevant personnel data to Accounting and Controlling departments, including inputs for accruals and personnel controlling metrics.
* Execution of support and correction activities related to time management, absence management, and other digital HR processes.
* Reporting of event participation, as well as managing income tax and social security-related matters in coordination with HR Services and other relevant entities.
* Management of occupational health records and communication with the company's medical services.
* Preparation and coordination of internal and external audits (e.g., tax and social security audits), as well as supporting documentation for annual financial statements.
* Handling of additional administrative and operational HR tasks as required to ensure smooth and compliant business operations.

Knowledge, Skills and Experience
* Up to 2 years of professional experience in Human Resources or a related field, including practical experience with HR management systems such as SAP HR, or similar platforms
* Bachelor's degree in Human Resources, Business Administration, or a comparable discipline
* HR certification or completed vocational training as a human resources clerk, commercial specialist, or equivalent qualification
* Basic knowledge of German labor law, as well as social security and income tax regulations
* Strong attention to detail with a structured and systematic working approach
* Ability to work independently and deliver results in line with defined quality standards, processes, and deadlines
* High focus on quality combined with efficient processing speed and accuracy
* Native-level German or at least C1 proficiency
* Fluent in English, both written and spoken (minimum C1 level)
* Very good command of MS Office applications (Excel, PowerPoint, Word), including templates and mail merge functionalities
* Solid understanding of HR processes and employee lifecycle management
* Strong interest in HR digitalization, with a willingness to learn new tools and technologies
* Resilient, well-organized, and able to effectively prioritize tasks in a dynamic environment
* Comfortable working in and collaborating with international teams
