The Role:
The HR Coordinator provides pivotal day to day business administration and project support to the HR Europe & Africa team and HR Centers of Excellence in support of the business (Executive Search, Heidrick Consulting, Corporate, and On-Demand Talent). This role is responsible for running business processes and workflows through Workday (HRIS) in an accurate and efficient manner.
HR Coordinators play a crucial role in shaping the employee experience and supporting company-wide success. By focusing on data monitoring, compliance, and integrity, they help maintain a solid foundation for HR operations, ensuring consistency and accuracy. HR Coordinators significantly boost the overall effectiveness of HR services and technology, making processes smoother for employees and managers alike.
Responsibilities:
* Acts as a main point of contact for data requests through Workday, processes new hire information, contractor information, terminations and status changes.
* Manages onboarding and separation paperwork for employees and contractors which includes but is not limited to new hire paperwork (including offer letters/employment contracts for all levels), new hire orientation scheduling, and separation paperwork.
* Coordinates with payroll to ensure timely processing of requests; elevates issues appropriately and with a sense of urgency.
* Joint process and transaction owner for the talent acquisition process on requisition and hiring activities including Workday processing.
* Primary point of contact for employment verifications and other region-specific verifications.
* Primary point of contact for time and absence inquiries and issues.
* Administers background check process (Americas regions only).
* Manages and maintains electronic employee files in Box and/or Workday.
* Prepares reports as needed through Workday; works with central HRIS team for more complex reporting.
* First point of contact for all employees on HR inquiries.
* Participate in HR projects as needed.
* May perform other duties as assigned.
Required Qualifications:
* Bachelor's degree in human resources or related field
* One year of experience in Human Resources or administrative roles requiring strong project coordination. This can include internships, part-time roles, or volunteer experience in a related field.
* Excellent attention to detail and proofing accuracy is imperative.
* Demonstrated experience handling sensitive information with a high degree of responsibility and sensitivity.
* Excellent communication skills in German and English encompassing listening, speaking, and writing.
* Ability to adapt to feedback and challenges by showing strong organizational skills and ability to multitask and prioritize tasks
Preferred Qualifications:
* Experience in HRIS platform, Workday preferred.
* Proficient in Microsoft Excel with prior experience in organizing and processing data.
* Proven understanding of core HR business practices, processes, and terminology.
* Professional Services experience preferred.
