Introduction to Role

Are you energized by orchestrating high-impact teams and removing friction so experts can focus on breakthroughs? Based in Guadalajara, MX, you will be the operational heartbeat for a global AI and data science group that powers commercial excellence, launch readiness, and rigorous financial planning. Your work will directly help the team deliver AI, machine learning, and data science solutions that inform smarter decisions and ultimately help patients receive life-changing medicines faster.

In this role, you will partner closely with senior leaders to set pace, create clarity, and keep priorities moving across time zones. You will own the systems, schedules, budgets, and processes that let a fast-growing, distributed team run smoothly.

Accountabilities
How will you design simple, scalable ways of working that save time this month-and raise the bar for how we execute next quarter?
* Leadership Team Operations: Plan, coordinate, and deliver leadership team rhythms and forums to drive timely decisions and follow-through.
* Calendar Orchestration: Manage complex, global calendars and schedule high-stakes meetings, ensuring the right people are in the room with the right context at the right time.
* Systems & Tools Enablement: Oversee access, onboarding, and adoption of key administrative systems and collaboration tools so the team can operate at speed with minimal friction.
* Budget & Vendor Stewardship: Support budget tracking, purchase orders, and vendor management to maintain financial rigor, forecast accurately, and maximize return on spend.
* Program Coordination: Partner with cross-functional stakeholders to align timelines, prepare materials, and track actions for initiatives spanning marketing, launch, and analytics.
* Stakeholder Management: Build trusted relationships across sites and functions, influencing without authority to align priorities and resolve issues quickly.
* Process Improvement: Identify inefficiencies, propose solutions, and implement streamlined workflows that scale with a rapidly growing organization.
* Confidentiality & Judgment: Handle sensitive information with discretion and sound decision-making in a dynamic environment.

Essential Skills & Experience
* Highly analytical with strong organizational and interpersonal skills
* Team administration credentials and experience managing complex matrix teams or processes
* Motivated and results-driven with a propensity for innovative thinking and developing efficient solutions
* Enterprise mindset and focus; strong process skills and ability to work in a matrixed organization with cross-functional teams across AstraZeneca's global oncology footprint
* Ability to influence without authority and establish/maintain credibility with senior individuals and audiences
* Resourceful, decisive, and proactive; able to manage multiple priorities in a fast-growing organization
* Sound judgment, high integrity, with ability to maintain strict confidentiality
* Demonstrated success in managing complex teams and/or projects
* Demonstrated experience managing multi-department budgets, PO processes, and vendor relationships
* Strong communication and collaboration skills

Desirable Skills & Experience
* Familiarity with AstraZeneca's key administrative systems and tools
* Prior experience managing complex projects
* High comfort level interacting with senior leaders, with the ability to challenge decisions when appropriate
* Demonstrated ability to apply cabinet responsibility and an enterprise mindset
